The Office of VP, Philanthropy for the University of Maryland, Baltimore has an exciting opportunity for a Philanthropy Associate II.

The Office of Philanthropy provides leadership for the University of Maryland, Baltimore’s (UMB) University-wide philanthropic enterprise in support of UMB’s strategic directions and those of its schools. We are inspired by our clients: donors, faculty, students, and University leaders. The office includes Annual Giving, Corporate and Foundation Relations, UMB Foundation Finance, Gift Administration and Donor Relations, IT Support, Planned Giving, and Development Research and Prospect Management.

With expertise and focus on the University-wide enterprise, the Office of Philanthropy staff builds capacity and efficiency through strategic planning and core services. In consultation with unit development staff and within the context of the annual campus fundraising goal, this division sets expectations for performance and productivity outcomes.
In addition to managing the collection, disbursement, and auditing of private funds through the University of Maryland Baltimore Foundation, Inc., this office maintains a sophisticated database of donors, alumni, and other friends of the University.

We collaborate daily with the schools’ deans, development officers, program directors, administrators, and faculty members as they manage multiple research, service, and teaching projects.

UMB is a public university and constituent institution of the University System of Maryland.  All employees are expected to work primarily physically within the State of Maryland. 

Primary Duties:

  • Administrative & Operational Tasks:
  • Plan, organize, and implement key activities related to philanthropy office.
  • Involved in gift processing and/or day-to-day support activities, especially during peak times for donations. Due to the nature of fundraising and alumni relations, full office and telephone coverage are important operational needs that all employees share responsibility for.
  • Support daily operational activities for philanthropy units such as answering toll-free lines, managing email and physical mail correspondence, scheduling meetings, maintaining calendars, and making travel arrangements.
  • Perform daily mail checks and coordinate FedEx/mail items. Obtain signatures and route paperwork accordingly.
  • Process data entries including CFR information and coordinate departmental administrative tasks such as ordering supplies.

Project & Event Support:

  • Assist with planning and logistics for training, donor events, and media coverage for events.
  • Assist with event coordination for special events and real-time troubleshooting for events as needed.
  • Prepare holiday card mailings, invitations, and other seasonal communications.
  • Communications & Content Management:
  • Disseminate weekly updates to media schematics and announcements.
  • Track communication projects and upload media content.
  • Coordinate web updates (requires T4 training).

Strategic & Cross-functional Support:

  • Track project timelines across units.
  • Perform meeting preparation and follow-up as needed.
  • Track metrics and maintain dashboards.
  • Track donor pipelines and report/audit legacy materials.
  • Perform other duties as assigned.

Education: Bachelor’s degree.

Experience: Two (2) years of fundraising, philanthropy, or client/customer relations experience. Office coordination, administration or management preferred. Experience as an executive assistant preferred.

Supervisory Experience: N/A.

Certification/Licensure: N/A.

Other: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.

Hiring Range: $54,000 - $59,000, commensurate with education and experience
