We are currently looking for a Office Manager to join our team at our York, PA office. The Office Management role involves overseeing supplies, coordinating maintenance and vendor services, and managing workspace assignments. Executive and administrative support includes organizing meetings, travel, and special projects, while reception duties cover guest hospitality, mail handling, and front desk operations.

This position is subject to drug testing and compliance policies associated with our status as a Federal Contractor.

Qualifications:

  • Associates or Bachelor's degree in business administration preferred
  • Superior writing skills
  • 4 years related experience with customer service, computer skills, and ability to multitask.

Essential Functions:

Office Management

  • Inventory, order, receive and invoice for materials and supplies for office and business units as needed
  • Coordinate with owners and property manager for maintenance, utilities and access control
  • Manage work space assignments, workstation readiness and customization
  • Manage service contracts and coordinate service and maintenance

Executive Support and Administration

  • Work with company owners on executive administration .
  • Assist with coordination of executive scheduling meetings and preparations
  • Assist with special project coordination and events

Reception and Mail Administration

  • Welcome and greet guests with hospitality, promptly notifying team members when guests arrive
  • Monitor visitor log, issue badges to guests and ensure security procedures
  • Manage the main phone line – ensure coverage, answer and direct incoming calls, manage voicemail and deliver messages
  • Manage SOPs for Front Desk Responsibilities for seamless coverage
  • Manage email and communications to ensure customer service and response in accordance to company values
  • Manage incoming and outgoing mail, including FedEx/UPS shipments.

Event Planning Support & Committees

  • Promote, manage process and distribute baseball tickets to employees during baseball season
  • Schedule and prepare conference rooms for meetings and events ensuring they are stocked and set up appropriately
  • Order catering and refreshments for company events, meetings and trainings
  • Events committee member – help with event coordination, communication, manage rsvp’s
  • Serve on committees to help coordinate company initiatives

Physical Requirements:

  • Must be able to lift up to 20 pounds
  • Must be able to perform simple grasping and fine manipulation tasks with both hands
  • Must be able to climb, bend and squat.
  • Must be able to sit at a desk for up to 3-4 hours at a time.
