School of Law and Politics


The School of Law and Politics is seeking to recruit a PA to the Head of School and Executive Assistant. In the role, you will provide comprehensive professional administrative support to the Head of School and the School’s academic and professional services management teams. You will provide a highly professional and effective personal assistant service to the Head of School.

The post is full-time (35 hours per week), available immediately and fixed term until 31 July 2026.

Salary: £28,031 - £31,236 per annum (Grade 4).
Appointment to roles at Cardiff University are usually made at bottom of scale, unless in exceptional circumstances.

Job Description

Providing comprehensive and professional support to the Head of School and the School’s academic and professional services management teams, providing support and guidance on management of priorities relating to the leadership of the School.

To deliver a professional and highly effective personal assistant service  to the Head of School.

DUTIES AND RESPONSIBILITIES

Key Duties
•    Provide detailed advice and guidance on management of priorities relating to the leadership, management and HR support of the School processes and procedures to internal and external customers (staff, students or members of the public), using judgement and creativity to suggest the most appropriate course of action, and contributing to the solving of more complex issues.  
•    Work with others to make recommendations to improve our ways of working.
•    Establish productive relationships with key individuals (AHSS College, University colleagues and external contacts) to help improve the level of service the team provides to its customers.
•    Perform a variety of administrative duties to support the team and School achieve its objectives.
•    Gather and analyse data so that informed decisions can be made, establishing basic trends and patterns in the data and providing reports and recommendations for management.
•    Instruct and guide colleagues across the University in relation to the business of the Head of School and the School’s academic and professional services management teams, as required.
•    Provide highly efficient support and diary management to the Head of School.

General Duties
•    Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
•    Abide by all University policies and undergo appropriate personal and professional development.
•    Perform other duties which are not included above, but which will be consistent with the role.

Essential Criteria 

1.    Ability to communicate in writing clearly, concisely, and effectively to provide detailed advice and guidance on management of priorities relating to the leadership of the School. 
2.    Evidence of a good standard of numeracy and IT literacy.
3.    Experience of working in an administrative role as a PA where responsibilities have included taking minutes of meetings and diary management, and ability to set up standard office systems and procedures, making improvements to these as appropriate.
4.    Specialist knowledge of HR Policies and procedures.
5.    Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding. 
6.    Ability to advise and influence key stakeholders in your area of work.
7.    Ability to explore customers’ needs and adapt the service you provide accordingly to ensure a quality service is delivered.
8.    Ability to use your initiative and creativity to solve problems, respond to queries and make recommendations, identifying and proposing practical solutions, applying principles of confidentiality at all times.
9.    Ability to analyse processes and procedures, and advise on improvements.
10.    Ability to work unsupervised to deadlines, planning, setting and monitoring your priorities.

Desirable Criteria

1.    Experience of working in a similar role or environment, e.g. Higher Education.
2.    Ability to speak/understand Welsh or a willingness to learn.
3.    Experience of using systems software (eg. Business and Objects) and MS Excel to collate and present management data.
