Position Title: Seasonal Events Manager
Department: Public Programs
Reports to: Event Manager
FLSA Status: Seasonal, Non-exempt
Hours: 22 weeks; 40 hours per week from beginning of employment through mid-January; 10–20 hours per week from mid-January through end of February
Compensation: $40 per hour
Schedule: September 29, 2025–February 27, 2026
Position Description:
Brooklyn Botanic Garden’s (BBG’s) seasonal events manager will assist the Public Programs department in overseeing day-to-day operations and site management during events including Fall Harvest Festival, Lightscape, and Winter Fête.
Responsibilities:
- Assist with managing BBG Events (Fall Harvest Festival & Winter Fête). Responsibilities include but not limited to:
- Submit signage needs to designers and oversee installation onsite.
- Advance and manage event setups (tents, audio gear, power, etc.) with internal departments and outside vendors.
- Submit operation tickets as assigned for custodial and facilities needs.
- Attend site visits and production meetings.
- Oversee logistics for load-in, event, and load-out.
- Assist in artist advancement on backline needs, performance needs, etc.
- Coordinate event needs with event producers.
- Assist with budget tracking and check requests.
- Assist with overall management of Lightscape, BBG’s annual wintertime illuminated trail. Responsibilities include but not limited to:
- Attend biweekly production meetings.
- Attend daily production meetings in order to coordinate the next day’s schedule & load-in needs. Communicate path closures during load-in & load-out with BBG staff.
- Oversee path closures and associated signage set-up.
- Coordinate BBG services as needed.
- Coordinate F&B kiosk load-in
- Work with venue manager coordinating signage load-in, event security meeting.
- Assist in coordinating BBG services and submit tickets as needed for custodial and maintenance services.
- Work with venue manager to oversee ancillary events (Friends & Neighbors Night, Press Opening, Family Benefit Night, 21+ Night, Sensory-Friendly Entry), which include barricade and stanchion set-ups, signage changes, and any special event needs.
- Respond to event reports with needs from BBG and coordinate accordingly.
- Coordinate event services with security, which include portosan servicing and generator refueling.
- Assist with documentation.
- Perform other related duties or special projects as directed.
Qualifications:
- Production or event management experience
- Ability to work under pressure and remain levelheaded while handling a variety of responsibilities
- Comfort communicating with the public, staff and volunteers, BBG members and guests, vendors, and production staff
- Logistical thinker with experience working in outdoor venues a plus
- Superior organizational, technical, analytical, interpersonal, and communication skills (written and verbal)
- Self-motivated and resourceful, with ability to work independently as well as collaboratively
- Must be available to work evenings, weekends, and holidays
