The Service Line Supervisor is responsible for ensuring operational excellence and administrative support across multiple locations within their assigned service line. This role plays a key part in maintaining provider schedules, implementing strategic initiatives, and enhancing both provider satisfaction and patient access. The Service Line Supervisor serves as a liaison between clinical leadership and frontline staff, driving performance, supporting provider engagement, and ensuring efficient clinical workflows. There are Service Line Supervisors for Primary Care/Pediatrics, Behavioral Health, Women’s Health, and Outreach.
Essential Functions:
Maintain and optimize provider schedules, appointment types, and templates (open/close) in collaboration with clinical leadership.
Ensure timely updates for schedule changes, PTO/STO, and provider onboarding/offboarding.
Monitor scheduling metrics (Next Third Available, Slot Utilization, Double-Booking, Walk-Ins, Follow Ups, After-Hours Reports, etc.) and provide regular reporting and analysis.
Improve provider satisfaction through responsive administrative support and relationship-building.
Serve as point person for implementing new service line initiatives (e.g., Vision Screening, Luminetics, Centering, Mammography, Ultrasound).
Facilitate training and monitor progress on initiative adoption in collaboration with clinical directors.
Coordinate first Thursday provider meetings
Manages On Call schedules and audits.
Coordinates Health Center Weekend Schedules for respective Service Line
Complete administrative assignments from clinical directors tied to community partnerships (e.g., CPS schools, HRC, HMHB, AdoptAFamily, Creaky Joints).
Hold regular touchpoints with providers to assess operational needs and satisfaction.
Track and support productivity, service utilization, and new initiative integration.
Oversee cross-coverage planning and timecard tracking for assigned providers.
Collaborate in real-time with clinical and operational leaders to ensure smooth patient flow from registration to check-out.
Assist in identifying care gaps and collaborate with Service Line Administrator and clinical directors to close those gaps for enhanced patient outcomes.
Acts as a liaison between providers and clinical informaticist, either upon provider request or at the direction of the clinical director, to offer hands-on support for improving EHR efficiency.
Provide ongoing support within EHR, monitoring InBaskets, open encounters and ensure best practices, escalating any issues to clinical directors.
Escalate EHR ticket needs to the Service Line Administrator
Coordinate the administrative onboarding process: submit SRFs, set up Haiku/Duo, email, laptop/VPN access, and facility orientation.
Assist with offboarding tasks such as template closure, note completion, InBasket resolution, and return of equipment.
Ensure the service line follows and adheres to all policies and procedures, and acts as the initiator for review of and creation of all policies and procedures related to the service line
Assist in the development and implementation of new protocols as assigned by the Clinical Directors and Service Line Administrator.
Take on special projects as assigned, ensuring alignment with organizational goals and service line priorities.
Work closely with the clinical director to implement strategies for improving quality indicators and ensuring that performance metrics are consistently met.
Participates and prepares presentations for workgroups to provide valuable insight of their service line.
Foster a positive and efficient relationship with the Clinical Director, providers, and the rest of the team.
Maintain regular communication with the Service Line Administrator to provide updates, report on quality indicators, and ensure alignment with broader organizational goals.
Attend and participate in Service Line Monthly Meetings
Travels across multiple locations that contain the respective service lines.
Acts as an ambassador of their service line in community activities and attends meetings on behalf of the clinical director if directed.

High School Diploma or GED required. Bachelor's degree in Business Administration, Health Care administration, or a closely related field preferred.
Experience:
Five (5) years of experience in a health care environment highly desirable. Physician office management and/or supervisory experience preferred. FQHC experience highly desirable. Specific experience in Pharmacy, Women’s Health, Behavioral Health, or Residency Program highly desirable.
