Independence Plus has an immediate opening for a Warehouse Operations Manager to work out of our Oak Brook, IL (DuPage County) office.


This position reports to the Vice President of HME Services and is responsible for overseeing the daily operations of the Warehouse and BioMed departments to ensure efficiency, compliance, and exceptional service delivery. The focus of the Warehouse Operations Manager is optimizing workflows, improving operational performance, maintaining strict inventory control, and ensuring seamless coordination between departments to enhance patient satisfaction, business success, and compliance with accreditation standards.



Essential Job Functions and Responsibilities


Operational Leadership: 

  • Oversee the daily operations of Warehouse and BioMed teams to ensure efficiency, high-quality service, and compliance. - Develop and implement standard operating procedures (SOPs) to enhance productivity, compliance, and accreditation readiness. - Monitor key performance indicators (KPIs) and ensure operational goals align with company objectives. - Ensure proper inventory management, order fulfillment, and delivery processes are followed with strong controls to minimize errors and losses.

Process Improvement & Compliance: 

  • Identify inefficiencies and implement process improvements to enhance workflow, reduce errors, and improve patient outcomes. - Ensure compliance with regulatory standards (Medicare, Medicaid, private insurers), accreditation requirements, and company policies. - Conduct regular audits, quality control checks, and compliance reviews to ensure operational excellence and readiness for accreditation surveys. - Maintain strict adherence to inventory control policies to prevent discrepancies and ensure accurate reporting.

Team Management & Development: 

  • Lead and manage warehouse and BioMed staff by providing support, coaching, and performance evaluations. - Ensure adequate staffing levels and training for both Warehouse and BioMed teams. - Foster a collaborative work environment with all other IPI departments. - Address and resolve patient complaints or operational issues to improve customer experience.

Collaboration & Reporting: 

  • Work closely with Intake, Patient Service Representatives, Sales, and Reimbursement teams to ensure smooth order processing and fulfillment. - Partner with Compliance and Clinical teams to ensure warehouse and BioMed operations meet accreditation and regulatory requirements. - Provide weekly and monthly reports on operational performance, compliance, inventory control, and improvement initiatives. - Participate in leadership meetings, providing insights and recommendations for operational and compliance enhancements. - Fulfill additional operational requests and initiatives as directed by the VP of HME.

Requirements

  • Bachelor’s degree in business administration, healthcare management, or related field (preferred) OR equivalent experience in HME/DME operations
  • 5+ years of experience in healthcare operations, HME/DME industry preferred. 
  • Strong understanding of HME insurance policies, reimbursement processes, inventory management, and regulatory compliance. 
  • Experience managing warehouse and BioMed operations. 
  • Knowledge of accreditation standards and ability to maintain operational compliance with them. 
  • Excellent leadership, communication, and problem-solving skills. 
  • Proficiency in Brightree or similar HME software. 
  • Ability to manage multiple priorities in a fast-paced environment. 


Work Environment and Physical Requirements

  • Office, warehouse, and BioMed setting; occasional travel may be required. 
  • Ability to lift up to 50 pounds occasionally (if needed for warehouse oversight).
  • Flexible schedule as needed to ensure operational success.
