About the Department


Provides essential administrative and programmatic support to the Parks and Recreation Department. This position assists with the coordination and delivery of recreation programs and special events while supporting marketing, customer service, and data management efforts. The Program Assistant plays a key role in promoting programs, managing registration systems, and ensuring smooth day-to-day operation through effective communication and organization. This role required a high level of attention to detail, initiative, and a commitment to delivering excellent public service in a fast-paced, team-oriented environment.

Position Duties


  • Provide general administrative assistance and customer service to parks and recreation supervisors, team, volunteers, and the public.
  • Programmatic support, such as creating and producing marketing and program materials, including but not limited to posters, social media, flyers, brochures, newsletters, handouts, rosters, nametags, certificates, surveys, and evaluations.
  • Creates and maintains accurate program, asset management, and volunteer records using parks and recreation software or databases (i.e., Cartegraph, Workday, NEOGOV, & CivicRec.)
  • Processes a variety of administrative actions such as purchase orders, processing invoices, and file management.
  • Public facing reception, answers phones, email communication, and assists clients with questions and reservations with excellent customer service skills.
  • Prepares documents, memos, correspondence, alerts, and surveys to be mailed or emailed, and maintains digital and physical mail logs.
  • Maintains extensive files, records, inventory, and statistics.
  • Assists in providing information and referrals to other agencies.
  • Works closely and assist in the planning, scheduling, and implementation of programs and events.
  • Financial responsibility for credit cards, cash, and check handling to include basic accounting.
  • Maintains and manages the websites used by parks and recreation.
  • Assists in cross-promoting with community partners.
  • Manages parks and recreation photo libraries.

Minimum Qualifications


OPTION #1:

  • High School Diploma or GED Equivalency required
  • Minimum of three (3) years or more of Parks and Recreation programming, marketing, and communication experience required
OPTION #2:
  • Associate's Degree in Parks and Recreation, Marketing, Communication, or Business Management required
  • Minimum of two (2) years or more of Parks and Recreation programming, marketing, and communication experience required
OPTION #3:
  • Bachelor's Degree in Parks and Recreation, Marketing, Communication, or Business Management required
  • Minimum of one (1) years or more of Parks and Recreation programming, marketing, and communication experience required

LICENSE/CERTIFICATION REQUIRED FOR ALL ABOVE OPTIONS:
  • CPR/FA/AED: Cardiopulmonary Resuscitation/First Aid and Automatic Electric Defibrillators Certification from the American Red Cross or related agency current or required within 60 days of hire
