Position: Accounts Payable Specialist
Location: Atlantic Highlands, NJ (Corporate Office)
Reports To: Accounting Manager
About the Role:
Due to our continued growth and the relocation of our accounting function to our Atlantic Highlands, NJ corporate office, we are seeking an experienced Accounts Payable Specialist to join our accounting team. This role is responsible for ensuring the accurate and timely processing of invoices and payments, maintaining vendor relationships, and supporting financial reporting and compliance activities. This is a hands-on role reporting directly to the Accounting Manager.
Key Responsibilities Include, But Are Not Limited To:
• Oversee the day-to-day accounts payable function, ensuring timely and accurate processing of invoices and outgoing payments.
• Review, verify, and approve invoices and payments in compliance with company policies and financial procedures.
• Reconcile vendor accounts and statements, promptly resolving discrepancies.
• Maintain accurate records of all accounts payable transactions and ensure proper classification in accounting systems.
• Monitor accounts for issues and work with vendors or internal teams to resolve them.
• Generate and analyze accounts payable reports; assist with month-end and year-end closing activities.
• Develop and help implement accounting policies and procedures to improve efficiency and compliance.
• Prepare and support monthly, quarterly, and annual financial reporting, including audit preparation.
• Ensure adherence to all relevant accounting standards, company policies, and regulatory requirements.
• Flexibility to perform other job-related duties as assigned.
• Processing 1099 forms for relevant vendors, including obtaining W9’s from vendors.
• Responding to vendor requests for updates regarding payment status.
Qualifications for the Position:
• Proven experience in accounts payable, accounting, or related finance role.
• Strong understanding of bookkeeping and accounting principles.
• Proficiency in MS Office and accounting software.
• High attention to detail and accuracy.
• Degree in Finance, Accounting, or Business Administration preferred.
