PURPOSE: The primary purpose of the Bond Facilities Improvement Clerk is to provide clerical support for Bond Projects department staff as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The following are examples of duties. However, any one position may not cover all duties listed; examples may not cover all duties an employee is expected to perform; and other duties may be assigned.
Answers phones and processes incoming and outgoing mail for the department.
Maintains comprehensive files on individual bond projects.
May assist in preparing requests for proposals or quotes as needed, from outside contractors, agencies and companies.
Manage purchasing and accounts payable/receivables tasks for all bond projects.
May assist with special facility or bond related projects.
Assists with securing price quotes, research of available vendors, and ordering department materials and equipment.
Assists with entering and processing purchase requisitions in the Ivisions System. Reviews and processes all invoices from contractors, architects and engineers, etc., ensuring accuracy prior to payment.
Communicates orally and in writing with vendors and district staff.
Assists with completing, organizing, maintaining, and distributing various computerized reports/surveys as required by various state, federal, or local agencies.
Maintains working knowledge of information regarding changes in accounts payable and school district business services processes, procedures and policies.
May assist or act in a confidential capacity to individuals who formulate, determine, and effectuate management policies and collective bargaining.

Language Skills: Ability to read and interpret documents such as safety rules, operating instructions, and procedural manuals. Ability to write detailed reports and correspondence. Ability to respond to common inquiries or complaints from students, parents, regulatory agencies or members of the community. Ability to speak effectively before groups of staff, clients, agencies and the general public.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute ratio and percentages and to draw and interpret bar graphs. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Computer Skills: Proficient with email, internet software, word processing, desktop publishing, order processing software, accounting software, database software and spreadsheet programs.
Certificates, Licenses, Registrations: Valid driver’s license. Certificates as determined by the district.
