About the Department
Under the direction of an assigned Director, perform advanced-level secretarial duties requiring independent judgment and analysis; plan to organize and coordinate office activities and communications to relieve the Director of administrative and clerical details.
Incumbents in the Senior Secretary class perform advanced-level secretarial duties and report to a district administrator of a specialized program or function at the Director-level. Incumbents in the Senior Secretary classification perform responsible duties in support of one or more supervisors in an assigned office; incumbents perform varied experienced-level secretarial and clerical duties and assignments requiring routine analysis and judgment.
Position Duties
Serve as secretary to a District-level administrator of a specialized program or function; plan, organize and coordinate activities to relieve the administrator of administrative and clerical details.
Interview callers by telephone and in person, including students, teachers, administrators, parents and the public and provide information or direct to appropriate personnel; provide detailed and technical information concerning policies and procedures according to established procedures.
Assure timely communications between office and District employees; make phone calls to receive and transmit information; type memos, bulletins, letters and notices; prepare Board agenda items and related materials.
Research and compile information and compute statistical data for federal, State and District reports and special projects as assigned.
Type a variety of items including interoffice communications, requisitions, forms, letters, special projects legal documents and other material; establish and maintain project and confidential files.
Attend a variety of meetings; prepare and send out notices of meetings; collect and compile information for meetings, projects and workshops; prepare and distribute minutes.
Code, update and enter data in computer records and files; format and generate specialized departmental documents and reports.
Maintain variety of complex personnel records, timesheets, lists, files and records including confidential materials.
Compile data for budget; post and maintain budget and financial records of a variety of programs.
Provide secretarial and clerical assistance to other staff as necessary; order supplies and materials and prepare purchase orders; assure adequate forms and supplies to support office operations.
Receive, open and screen incoming mail and independently compose replies according to established procedures.
Operate a variety of office equipment such as typewriter, word processor computer terminal, copiers and calculator.
Train and provide work direction to clerical personnel as assigned; coordinate office work flow and assignments to assure efficiency and effectiveness.
Operate computer terminals and microcomputers and a wide range of advanced office software including word processing, spreadsheets, graphic and desktop publishing on specialized software related to business functions, to create and prepare documents and presentations and to access information for reports and decision making. Perform related duties as assigned.
Minimum Qualifications
Any combination equivalent to: graduation from high school and three years of full-time experience as a secretary. An Associate's degree in Secretarial Science or directly related field is desirable.
