Under general supervision, this role is responsible for pre/post-award activities of more complex grants and contracts, ensuring proposals and awards are compliant with laws, regulations, policies, and terms and conditions. Position serves in the central office compliance and oversight function, in assisting departmental faculty and staff in the development, preparation, and submission of grant and contract proposals (pre-award), and/or award set-up and monitoring, financial reporting, and project closeout activities (post-award).
Responsibilities
- Review, obtain institutional approval, and submit grant and contract proposals and applications, ensuring submissions meet agency and institution guidelines, published timetables and deadlines.
- Creates and maintains official proposal file records for all grant and contract submissions.
- Provides policy and procedure interpretation, guidance and oversight to departmental faculty and Research Administration Services Center personnel throughout the life cycle of sponsored program administration.
- Establishes accounts in the financial accounting system, prepares and submits fund re-budgeting and other award change requests as appropriate, maintains accurate official institutional grant records for duration of the award, prepares award closeouts, and serves as institutional liaison to assigned external funding sponsors on all non-scientific matters related to sponsored award administration.
- Prepares Financial Status Reports and other specialized proposal and/or award reports to federal and other sponsoring agencies.
- Maintains grant record retention schedules and related files.
- Keeps current on applicable federal guidance on sponsored programs including OMB Uniform Guidance updates, as well as other institutional and sponsor laws, regulations, policies, and guidance pertaining to sponsored programs.
- May serve as a resource in the resolution of complex problems and issues.
- Performs all other duties as assigned. relevant to position responsibilities, as requested and approved by the Support Center Pre-Award Specialist – Supervisor.
Qualifications
- Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.
- Ability to work under general supervision, relying on experience and judgment to plan and accomplish assigned tasks and goals.
- Strong attention to detail, problem-solving and effective time management, planning and organizational skills, and ability to multi-task in a rapidly changing environment.
- Ability to work independently in a team environment, take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meets both internal and external deadlines.
- Capability to work with all types of sponsored programs including training, public service, and basic science and clinical research.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access).
Education:
- Bachelor’s degree is required; Bachelor's Degree in accounting or finance is preferred for post-award positions.
Experience:
- Two (2) years of related experience is required.
Company
- Front-loaded Paid Time Off: 128 to 208 hours (16 to 26 days) of Paid Time Off based on years of service, given at the start of each fiscal year. PTO may be prorated in year one based on date of hire.
- Extended Illness Bank: 8 hours (1 day) accrued per month which can be used for illness or injury after one day of Paid Time Off is taken.
