Office and Scheduling Coordinator

Full -Time

8am - 5pm, Weekdays

In person position

No weekends or holidays

Essential Functions:

  • Develop, maintain, and oversee the master staffing schedule for all Home Hospice clinical staff.
  • Assign employees to shifts based on availability, skills, and organizational needs.
  • Monitor schedules proactively, making timely and accurate adjustments while effectively communicating changes to staff.
  • Troubleshoot scheduling issues, respond to related inquiries, and serve as a resource for staff.
  • Review and approve time-off requests in accordance with organizational guidelines.
  • Develop and deliver training materials and presentations related to scheduling and processes.
  • Conduct staff trainings to ensure consistent and accurate use of scheduling tools.
  • Monitor and approve shift swaps to maintain optimal coverage.
  • Communicate all schedule-related information clearly to staff, including assignments, changes, and updates.
  • Collaborate with HR, Operations, and other departments to align staffing with organizational priorities and patient care needs.
  • Support additional administrative functions, including data entry, report generation, and occasional assistance with recruitment processes.
  • Maintain inventory of office and program-related supplies, ensuring areas remain stocked and organized; order and track general and specialty items. i
  • Serve as primary contact for facility’s needs, coordinating with the Director of Facilities and vendors to address maintenance, repairs, and servicing.
  • Act as liaison with HR, IT, Development, Finance, Volunteer Services, and other departments to support administrative needs and facilitate timely communication.
  • Provide administrative support including data entry, filing, scanning, mail distribution, courier deliveries, and document management.
  • Maintain the staff communication board, coordinate employee benefit ticket distribution, and support organizational events.
  • Record and document incoming cash donations for timely acknowledgment and reconciliation with Development; track and distribute gift cards with reporting.
  • Assist with cross-functional program support and provide flexibility across satellite offices as needed.
  • Prepare meeting rooms, support technology needs, and ensure alignment with reservation schedules.
  • Greet and assist visitors, guests, and vendors in a professional and courteous manner.
  • Answer and route incoming calls promptly and accurately
  • Provide backup coverage for the Administrative Support Secretary during absences, ensuring coordinated scheduling.

Qualifications

  • High school diploma or educational equivalent required.
  • A combination of relevant education—such as college-level coursework, business certifications, specialized training, and progressively responsible administrative experience preferred.
  • Previous experience in scheduling or a related administrative/office coordination role strongly preferred.
  • Demonstrated ability to deliver exceptional customer service, work collaboratively across departments, communicate effectively (both verbally and in writing), manage multiple priorities with strong organizational skills, and engage in crucial conversations with professionalism and tact.
  • Strong proficiency in Microsoft Office Suite; experience with scheduling systems and other digital tools preferred.
  • Must be able to communicate fluently in English, both verbally and in writing, with a pleasant and professional speaking voice.
