About the Department

Summary

Under general supervision of Registered Nurse, the Medical Assistant performs a combination of clerical and clinical duties in support of the Health Department programs and services.


The Medical Assistant facilitates daily operations, including preparing clients for exams, conducting lab tests, administering vaccines, completing referrals, maintaining records, performing data entry, and managing supplies and inventory. Work involves direct interaction with the public, participation in community outreach, and coordination with internal and external healthcare providers. As a condition of employment with the Health Department, all healthcare personnel are required to comply with occupational health standards to ensure the safety of patients, staff, and the community.

Position Duties

Responsibilities 

Clinic & Patient Care

  • Schedules and conducts patient interviews in preparation for clinic appointments.
  • Obtains and records vital signs, height, weight, and medical history.
  • Draws blood, monitors glucose, administers vaccines, and performs basic clinical tests.
  • Recognizes abnormal results and promptly contacts appropriate medical authority for orders.
  • Assists with specialist referrals and scheduling.
  • Provides patient education, counseling, and translation/interpreter support for Spanish speaking clients as needed
  • Conducts home visits and delivers medications or supplies when needed.
  • Supports outreach events, including occasional after-hours or off-site activities.
  • Performs CMA duties and operates / uses clinical equipment to include BP and glucose monitors, stethoscopes, thermometers, and scales.


Program Support & Data Management

  • Performs data entry into electronic health records, state registries, and/or surveillance systems.
  • Maintains patient charts, logs, and program records in both electronic and paper formats.
  • Prepares and updates forms and documents based on guidance from medical authorities.
  • Reconciles and manages inventory for medications, vaccines, and supplies; order stock as needed.
  • Participates in reconciliation and destruction of expired medical supplies with appropriate oversight


Administrative Duties

  • Greets and assists clients in person and by phone; responds to routine inquiries and routes calls as needed.
  • Assists clients with applications, forms, and required documentation.
  • Collects fees, balance receipts, and prepare deposits for accounting.
  • Prepares reports, fiscal records, and program documentation.
  • Schedules appointments, maintains calendars, and coordinates meetings.
  • Operates and maintains office equipment (copiers, fax, scanners, etc.).
  • Sorts, files, and distributes mail, documents, and supplies.

 

Outreach & Community Engagement

  • Participates in community health outreach and education events.
  • Delivers health education and promote program services to individuals and groups.
  • Assists with program-related marketing, public awareness campaigns, and health fairs.
  • Communicates effectively with diverse populations and maintains professional relationships with supervisors, co-workers, and community partners.


Other Duties

  • Travels to client locations, medical facilities, and outreach sites as required.
  • Maintains HIPAA compliance and adhere to all privacy/confidentiality regulations.
  • Works independently, prioritize tasks, meet deadlines, and adapts guidelines to specific situations
  • Performs other duties as assigned.

Minimum Qualifications

Education and/or Experience

  • High school diploma or equivalent required.
  • Graduate of an accredited Certified Medical Assistant (CMA) program (or equivalent relevant medical assisting experience in lieu of certification).
  • Experience in public health, family health, or related medical field preferred.
  • Bilingual (English/Spanish) required.

Other Qualifications

Other Qualifications, Certificates, Licenses, Registrations

  • Licensed Certified Medical Assistant (CMA) preferred
  • Valid Texas Class C driver’s license
  • Ability to obtain/maintain certifications in CPR, vision screening, hearing screening, and others as required.
  • Successfully completes annual HIPAA training within 30 days of hire and yearly thereafter.
