STUDENT ASSISTANT EMPLOYEE JOB DESCRIPTION

NOTE: THIS POSITION IS A TEMPORARY TWELVE (12) MONTH APPOINTMENT ANTICIPATED FROM JULY TO JUNE. MAY BE EXTENDED ANNUALLY, AT THE DISCRETION OF THE SUPERVISOR, AND BASED ON OPERATIONAL NEED, FLEXIBLE FOR SCHEDULING, FUNDING, AND ONGOING ADHERENCE TO PERFORMANCE EXPECTATIONS.

 

JOB DESCRIPTION:

Under the supervision of the Manager, Strategic Marketing and Communications, the Student Marketing Administrative Assistant is responsible for handling a variety of routine and complex projects, administrative assignments, and general office tasks requiring organization, skill, judgment, and decision-making for the Department of Strategic Marketing and Communications (SMC) of the University Student Union (USU).

JOB DUTIES:

·         Assists the Manager, Strategic Marketing and Communications with special projects as assigned

·         Assists with coordinating and building cross-campus relationships with academic faculty and support staff

·         Assists with preparing various reports, presentations, and documents

·         Researches, gathers information, and presents recommendations about various topics, including but not limited to historic USU projects, services, and initiatives; marketing and communications strategies; technology solutions; organizational and strategic planning tools

·         Assists with developing assessment proposals and works in collaboration with the USU Assessment team to implement projects, as well as track, compile, and analyze data

·         Assists with preparing meeting agendas, taking notes, generating meeting minutes, and reporting information gathered to the Manager, Strategic Marketing and Communications

·         Assists with planning, scheduling, and coordinating department meetings and trainings

·         Performs general office duties, including but not limited to greeting visitors, answering phones, developing and maintaining office systems, tracking information and data, typing correspondence, photocopying, scanning, faxing, filing, and other related tasks

·         Performs other related duties as assigned

QUALIFICATIONS:

EDUCATION

·         Must be a currently enrolled CSUN student

EXPERIENCE

·         Previous related experience and/or specialized education required

KNOWLEDGE, SKILLS, AND ABILITIES:

·         Ability to be detail-oriented, self-motivated, and possess strong initiative

·         Demonstrates leadership and organizational skills

·         Excellent customer service skills required

·         Ability to independently manage multiple tasks simultaneously and adhere to deadlines without immediate supervision

Ability to communicate effectively in writing, including composition, grammar, spelling, and punctuation

·         Ability to verbally communicate effectively, including the ability to share relevant information, ask questions, listen well, and respond appropriately

·         Established computer skills e.g., Word, Excel, and PowerPoint

·         Ability to maintain records and information in a confidential manner

·         Ability to effectively work with others in a team environment

·         Ability to work and contribute to an inclusive, diverse working and learning environment

 

In addition and through this position, the Student Marketing Administrative Assistant will have the opportunity to learn, develop, and acquire the following transferable skills:

·         Attention to Detail: Thoroughness in accomplishing a task through monitoring and checking work efficiently.

·         Clerical: Relating to work in an office, especially routine documentation and administrative tasks such as filing, data entry, appointment scheduling, etc.

·         Time Management: The process of managing one's time effectively and productively to complete multiple assigned tasks.

ANALYTICAL

·         Critical Thinking: The ability to think rationally and thoughtfully through a problem or project and determine the best steps needed.

INTERPERSONAL

·         Communication: The ability to effectively give and receive information.

STRATEGIC PLANNING

·         Planning and Organizing: Organizes and prioritizes tasks to be performed and completed by a deadline in order to achieve the most efficient use of time.

SUPERVISION:

Supervision is provided by the Manager, Strategic Marketing and Communications

TYPICAL WORKING CONDITIONS:

Work is primarily performed in a temperature-controlled office environment. Daily contact with members of the campus community, including students, faculty, staff, administrators and guests, is required. In addition to regularly assigned work schedule Monday-Friday, must possess an ability and willingness to work some weekends, academic interim, and break periods as needed; must be flexible, adaptable, and readily able to adjust to changes in work environment.
