Job Title: Payroll Coordinator
Job Summary:

CASES is looking for a Payroll Coordinator that will play a critical role in supporting the financial and operational integrity of the agency. Reporting to the Payroll Manager, the Payroll Coordinator is responsible for assisting with the accurate and timely processing of biweekly payroll for salaried and hourly staff. This includes reviewing and entering payroll data, managing payroll-related inquiries, ensuring compliance with federal, state, and local regulations, and serving as a liaison between Payroll, HR, and Finance. The Payroll Coordinator also plays a key role in maintaining payroll records, preparing reports and reconciliations, and providing essential support during audits. This position is ideal for a detail-oriented professional with a strong understanding of payroll systems and a commitment to service excellence.
Salary: The salary range for the role is $58,000 - $60,000 per year.
Shift Hours: This position is full-time working Monday through Friday from 9:00 am to 5:00 pm.

Workplace Flexibility: Hybrid, for roles that have at least 1 full day remote per week.
What you will be doing:
- Assisting with all aspects of the biweekly payroll process for salaried and hourly employees. Review timesheets for accuracy and enter data in the payroll system. Transmits the payroll in the absence of the Payroll Manager.
- Serves as the back-up staff for processing all payroll activities in the absence of the payroll manager.
- Assisting in reviewing Personnel Action forms for completeness, before entering data in the ADP payroll system, including items such as salary changes, grant allocations, account code changes.
- Responsible for downloading the bi-weekly JE upload file from ADP, for posting in to the accounting system, Sage and saving those files accordingly.
- Entering data in ADP related to direct deposits, garnishments, and other deductions.
- Responsible for preparing all the payroll bi-weekly invoices, for submission to fiscal.
- Working with the Payroll Manager to review the payroll data, edit report for accuracy and make corrections as needed, prior to submission to ADP.
- Working with the Payroll Manager to prepare backup reports as needed for salary reports such as the Consolidated Fiscal Cost Report (CFR), pension non-discrimination testing, and Form 990.
- Responsible for preparing the quarterly 941 form reconciliations.
- Responsible for preparing and submitting the quarterly employee statistical report with the Labor department.
- Assisting reconciling voluntary payroll deductions with vendor reports and working with Human Resources staff as needed to audit and ensure accuracy.
- Works with Payroll Manager in a role of customer service, responding to payroll inquiries in a timely manner.
- Serves as the liaison payroll staff for working with HR staff, to resolve data discrepancies and any other related matters.
- Responsible for assisting the payroll manager to collect and provide the required support data and documentation during audits.
- Help ensure we maintain a safe working environment by reporting any hazards or unsafe conditions, e.g., liquid spill in hallway, to the appropriate facilities staff member or supervisor.
- Other Responsibilities: Keeps up-to-date and maintains knowledge regarding payroll regulations, ADP Workforce Now payroll processing and stays abreast of any changes, and any other ad hoc duties as may be requested by the Payroll Manager or senior management
What we are looking for:
- Associates degree or equivalent work experience
- A minimum of 3 years’ experience working with payroll
- Excellent communication and interpersonal skills
- Strong attention to detail
- Excellent computer skills, Excel, Word and experience with payroll processing, ADP Workforce Now (preferred)
