Position: Referral Specialist Support (Temporary)

Summary of Duties and Responsibilities:
Performs duties, under direction of Manager of Referrals and Medical Records, processing pending referrals to promote coordination of patient care. Under the direction of the Manager, makes interpretations and exercises some discretion in routine situations. Supports and works with the Referral Specialist and Medical Records members to address referrals that require closure and provides updates on missing appointment or consult notes for appropriate follow up. Uses data analytics software, EMR, and other tools to confirm referral closure.
Primary Duties and Responsibilities:
- Processes the closure of specialty referral orders from Variety Care providers using electronic medical record system (eClinicalWorks), ensuring timely coordination of specialty care for Variety Care patients.
- Communicates with patients and care teams of appointment information as requested by the Manager of Referrals and Medical Records.
- Follows proper procedures to assure pending referrals are complete and addressed within eCW.
- Explains referral process and procedure to patients.
- Sends pending referrals without appointment and/or consult note to appropriate Referral and/or Medical Record team member.
- Provides exceptional customer service and problem-solving techniques to further the patient’s overall health and well-being via specialty care referrals.
- Troubleshoots day to day work related issues and provides feedback to supervisor.
- Follows HIPPA guidelines and Variety Care privacy policy and procedures.
- Supports Variety Care’s accreditation as a Patient Centered Medical Home and our commitment to provide care to all Variety patients that is Safe, Effective, Patient Centered, Timely, Efficient, and Equitable. Provide leadership and work with all staff to achieve the goals of the “Triple Aim” of healthcare reform—to improve the experience of care, improve health outcomes, and decrease healthcare costs.

Essential Functions:
- Must be able to lift 25 pounds.

Qualifications
Requirements, Special Skills or Knowledge:
- High School Diploma or GED.
- Experience working with the public.
- Experience in data entry.
- Intermediate keyboarding and computer knowledge.
- Experience communicating with patients and staff.
- Experience handling confidential information.
- Organizational skills, and experience prioritizing work.
- Experience working in an active work environment with patients and staff.
- Experience working with difficult patients from time to time.
- Experience problem solving and critical thinking skills.
- Customer Service skills and team attitude.
Preferred Requirements, Special Skills or Knowledge:
- Background knowledge of a medical environment.
- Bilingual (Spanish/English).
