Position Overview:
At OrthoArkansas, our Call Center Representatives are the friendly, professional voices behind every patient’s first impression. This role is essential in ensuring that each interaction is handled with care, efficiency, and empathy. You’ll manage calls, schedule appointments, and provide exceptional support to both patients and clinic staff. Your contributions will play a key role in creating a seamless patient experience and keeping our clinic operations running smoothly.

Key Responsibilities:

  1. Call Management:
    • Answer incoming calls promptly with a friendly and courteous demeanor.
    • Direct calls to the appropriate staff, manage voicemail, extensions, and utilize the overhead paging system.
    • Route messages efficiently to physicians and clinical staff, ensuring timely communication.
  2. Appointment Scheduling:
    • Schedule patient appointments accurately, addressing cancellations and rescheduling requests with professionalism.
    • Manage clinic cancellations and adjustments, ensuring a smooth schedule flow for patients and staff.
  3. Administrative Support:
    • Maintain precise and organized records of call activities and patient interactions in the system.
    • Address caller needs and concerns with compassion, providing exceptional customer service.
    • Assist with additional administrative tasks as required to support the call center and clinic operations.

Qualifications:

  1. Education and Experience:
    • High school diploma or GED required, with a focus on office or customer service skills preferred.
    • 6 months to 1 year of related experience and/or training; previous call center experience is preferred.
  2. Skills and Abilities:
    • Intermediate proficiency in word processing and typing.
    • Basic knowledge of contact management and database software.
    • Excellent communication and interpersonal skills.
    • Strong organizational skills and attention to detail.
    • Ability to excel in a fast-paced environment and handle multiple tasks effectively.
    • Compassionate, empathetic demeanor when interacting with patients.

  • None required.
