JOB SUMMARY:

Under limited supervision, this position performs a variety of tasks related to maintaining the automated materials management and accounts payable systems, including inventory management and documentation of system procedures. The role oversees purchasing responsibilities for surgery, engineering, and information technology products, while fostering a collaborative team environment among direct reports. It requires building and maintaining strong relationships with all users of the materials management system, as well as possessing knowledge of other key departmental areas to provide assistance as needed. ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

  1. Maintains established departmental policies and procedures, objectives, quality assurance program, quality improvement program, and safety standards.
  2. Provides technical support, program development and network management for the Materials Management Network and support/training for the health system.
  3. Prepares and maintains procedural documentation on automated Materials Management systems.
  4. Maintains computerized network systems.
  5. Assists with care and maintenance of department equipment and supplies.
  6.  Maintains departmental records, reports, and files as required.
  7. Participates in educational programs and in-service meetings, as well as department meetings.
  8. Educates new Associates in the department on operational systems.
  9. Maintain system dictionaries and databases.
  10. Resolve problems with products and invoicing.
  11. Assumes responsibilities and must be knowledgeable in other key areas in the department to provide additional coverage as needed.
  12. Supervises daily activities of the receiving dock and Distribution Staff.
  13. Documents attendance/punctuality through the Human Resources Absentee card system and counsels associates when needed.
  14. Counsels and coaches distribution and Receive Associates when warranted.
  15. Coordinates training, orientation and educational opportunities for Distribution/Receiving associates to ensure acceptable competency levels.
  16. Participates in the interview and evaluation process for all Materials Management Associates.
  17. Maintains and motivates a well-trained staff, consistently monitoring performance and recommending adjustments for training.
  18. Responds to and resolves team and client concerns.
  19. Demonstrates effective leadership through commitment to the departmental leadership team goals.
  20. Assumes responsibilities for buyers in their absence.

WORKING CONDITIONS, HAZARDS AND PHYSICAL EFFORT:

Work is primarily sedentary and subject to frequent interruptions, with exposure to a high degree of stress. The position follows a standard workweek but may require additional time beyond the standard workweek, including occasional weekends or remote work. Duties may also involve occasionally lifting or positioning up to 40 pounds or moving bulky or unwieldy objects.

Daily contact with Associates, Physicians, vendors, and other external resources.

 

EQUIPMENT USED/SPECIAL SKILLS REQUIRED:

Must be able to maintain a computer system and work with PC networking.
