Job Title: Long-Term Care Executive Secretary
Department: Long-Term Care

FLSA Status: Non-Exempt

JOB DESCRIPTION
Provide administrative and clerical support for the DON and other Transitional Care staff. The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to this job.
- Schedule and transport residents to medical, dental, and vision appointments as needed
- Schedule and transport residents to medical, dental, and vision appointments as needed
- Record medical and administrative information in accordance with TCU-established charting and documentation policies and procedures
- Maintain an up-to-date roster of residents
- Collect mail daily from the front office and distribute it
- Maintain a current list of emergency phone numbers for staff assigned to the unit
- Update the CCD for each resident monthly in their file folders for emergency preparedness
- Ensure that the necessary paperwork to operate the unit is available and/or printed for the staff
- Complete the necessary medical and administrative records upon the resident’s admission, transfer, and/or discharge, including follow-up on documents that should be in the chart
- Scan documents into the computer and send them to the administrator for transmission to the state
- Take history and physicals to the medical record when a new resident is admitted to obtain ICD-10 codes for Point Click Care (PCC). Scan documents into individual residents' EMR as soon as possible
- Communicate positively with Physicians by greeting them at the desk and taking any needed papers to be signed to their offices
- Assist the Nursing Management team and other relevant supervisors in maintaining good rapport and morale within and between departments to ensure a cohesive team effort is achieved
- Maintain a record of all staff certifications and remind staff when recertification is necessary
- Update payroll weekly on the computer (time cards) and notify the DON to complete the final review and approve the time cards
- Assist in feeding, transporting, and ensuring the safety of residents
- Answers lights and phone calls
- Prepare weight sheets for staff to use monthly – available at the Nursing Station
- Maintains discharge summaries for each discipline by checking that all disciplines have completed summaries, including physician discharge summaries
- Completes all competencies annually to maintain skills and quality of care
- Attend all staff meetings and all other required meetings
- Facilitation skills in order to support and work cooperatively with staff, patients, and external parties
- Timely documentation, according to the current Franklin County Medical Center’s Timely Documentation Protocol, is required
- Maintain confidentiality by protecting sensitive, proprietary, or confidential information. Adhere to HIPAA privacy and security requirements
- Protects patients and employees by adhering to infection-control policies and protocols
- Must wear Personal Protective Equipment (PPE) as required to maintain Infection Control Standards as set by the facility
- Performs other related duties as assigned
REQUIRED SKILLS / ABILITIES/ COMPETENCIES

- Must be able to hear and understand spoken information, alarms, needs, and issues quickly and accurately, particularly during emergencies
Requirements
MINIMUM QUALIFICATION
- Must have a High School Diploma or GED Equivalent
- Certified Nurse Assistant in the State of Idaho (CNA)
- Current Certification in Basic Life Support (BLS)
- Must be at least 25 years of age and have a clean driving record
ESSENTIAL JOB FUNCTIONS
- Regular and predictable attendance
- Regularly required to sit, bend, stoop, and stretch
- Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment
- Requires a normal range of hearing and eyesight to record, prepare, and communicate appropriate reports
- Expected to lift and utilize a full range of movement to transfer patients. Will also bend to retrieve, lift, and carry supplies and equipment. Typically includes items of varying weights, up to and including heavy items or patients
- Must be able to lift up to 100 pounds for patients transferring occasionally; requires lifting papers or boxes of charts and papers weighing up to 50 pounds on occasion
- Need to walk and assist with transporting/ambulating patients, as well as obtaining and distributing supplies and equipment. This includes pushing/pulling gurneys and portable equipment, including heavy items or patients
- Often required to navigate crowded and busy rooms (full of equipment, power cords on the floor, etc.)
- May be expected to stand in a stationary position for an extended period of time
- Must be able to access and navigate throughout the department within the organization's facilities
- Ongoing need for the employee to see and read information labels, assess patient needs, operate monitors, and identify/operate equipment and supplies
- Manual dexterity of hands and fingers to manipulate complex and delicate equipment with precision and accuracy. This includes frequent computer use and typing for documenting patient care, accessing necessary information, and other tasks
WORK ENVIRONMENT
- FCMC operates 24 hours a day, every day of the year. The operational needs of departments may require you to be available to work all shifts, including weekends and holidays, to meet the needs of patients.
- Potential exposure to blood, body tissue, fluids, contagious diseases, and hazardous waste.
- Occasional exposure to bodily injury, loud/unpleasant noise, unpleasant odor, and emotional or physical stress.
- May be required to work day or night in a confined environment or in varying temperatures.
- The employee works in the hospital setting.
- Exposed to moving mechanical parts 40% of the time.
- May be required to travel to other facilities to obtain training/certification as necessary.
