About Oxford Biotherapeutics:
Oxford BioTherapeutics (OBT) is a dynamic, rapidly-growing, international biotechnology company based in Oxford, UK, and San Jose, CA. We are a clinical-stage oncology company with a pipeline of immunooncology and antibody-drug conjugate-based therapies. OBT's IO (Immuno-Oncology) discovery process provides unique insight into the cancer-immune cell synapse and has identified several novel IO candidates for cancer therapy. Discovery of novel tumor antigens and immune cell surface proteins at OBT is performed using the proprietary Oxford Genome Anatomy Project (OGAP®) database. OBT currently has one ADC in phase 1b clinical trials in collaboration with Menarini, and target discovery collaborations with Boehringer Ingelheim, Zymeworks and Roche.
Purpose of the Role
To provide stand-alone, proactive, professional and informed support to the employees in the San Jose office and to ensure the office runs smoothly, particularly around compliance and employee well-being. To work closely with the UK HR team to continuously improve our processes and ways of working and to provide a joined-up approach to HR across the Company.
Roles and Responsibilities:
Legal
- Ensuring US/California employment legislation is enacted within OBT policies and procedures and enforced
- Maintaining accurate and compliant HR records, and documentation is provided to relevant stakeholders in a timely manner
- Completing census information required for benefit renewals and 401K
- Working with immigration lawyers to ensure employees on visas receive the best advice and support in the company’s best interest
- Working with lab and building managers to ensure health and safety legislation is understood and enforced, including obligatory training
- Leading on benefits renewals together with UK HR and Finance Teams input
- Managing the employee benefits online platforms and liaising with benefit providers to ensure membership remains up to date
- Resolving day-to-day employee queries in relation to benefits, 401K etc
Scaling
- Heading up US recruitment activities including finalizing job descriptions with hiring managers (after approval), advertising roles on online platforms, ensuring shortlisting by hiring managers is accomplished in a timely way, coordinating interviews, ensuring all applications are responded to in a timely manner and consistent with our employer brand
- Carrying out pre-employment checks as per legislation
- Preparing, following through and filing offer paperwork for potential hires.
- Contributing to strategic HR initiatives by collaborating closely with other departments and the UK HR team to align people strategies, share best practices, and support organisational goals.
Engagement
- Ensuring new starters feel welcomed to OBT by taking care of new starter paperwork and onboarding activities including allocating a buddy to enhance role/team understanding (may not be in the US)
- Building strong relationships with both team leads and team members in the US to effectively support them with any HR-related queries, ensuring a responsive, empathetic approach and a positive employee experience.
- Organizing staff events
Office Management
- Proactively ordering office supplies by remaining close to teams but also as requested
- Ensuring agreed office catering (eg snacks, drinks etc)
- Managing administration email inboxes
- Arranging couriers
- Arranging in-bound and out-bound travel in partnership with Office Manager in UK as appropriate
- Working closely with on-site administrative and financial support staff for invoicing, credit card reconciliation and vendor management.

Knowledge, Experience, and Skills:
Essential:
- Bachelor’s degree
- A relevant qualification in HR
- Demonstrable experience working in a stand-alone role HR role in an SME
- Proven knowledge of Californian and US employment law including performance, visas and benefits
- Experience with the end-to-end recruitment process
- Experience renegotiating and managing employee benefits
- Ability to work autonomously whilst also being a true team player
- Meticulous attention to detail
- Excellent ability to self-organize and see tasks through to completion
- Experience with Office 365 suite
