Responsibilities:

What You’ll Do

 

This position will primarily be responsible for managing the facilitation of large-scale member events, membership meetings and programs including the New York Conservatory, and other annual events as needed as well as the day-to-day coordination of member meetings and other events in conjunction with the national Communications and Marketing department and other departments.

ESSENTIAL DUTIES & RESPONSIBILITIES:

 

  • Plan and oversee all logistical elements for events, including conferences, key networking industry gatherings, regularly occurring programming, and membership events that serve to engage the SAG-AFTRA community.
  • Coordinate New York Conservatory programming and manage the day-to-day of the program.
  • Manage and find ways to improve and optimize the programs by adding new programs, streamlining planning processes, and coordinating marketing of events.
  • Write and edit content for the Member Lounge Monitor and maintain office displays.
  • Responsible for coordination and management of all event staff and member volunteers Also responsible for troubleshooting and resolving issues as they arise. 
  • Order catering and oversee setup for department meetings and events.
  • Maintain and organize event supplies and promotional materials, including coordinating reordering of branded stock as needed.
  • Provide special assistance to senior staff for specific projects on an as needed basis.
  • Perform other duties as assigned or as the situation dictates.

MINIMUM QUALIFICATIONS

 

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

  • Superlative interpersonal skills: high degree of patience and tact, and must be able to cultivate relationships with people from diverse backgrounds, both internally and externally. 
  • Strong organizational skills
  • Proficient in G-Suite including Google Slides, Sheets etc., PC applications and Internet-based systems (55 wpm minimum). Excellent knowledge of social media.
  • Strong communication skills in English, both oral and written; consultative skills to gain the respect and trust from staff and leadership alike in building impactful solutions.
  • Able to use sound judgment, a high level of discretion, and maintain confidentiality. 
  • Able to organize, prioritize and coordinate multiple assignments and complex projects; able to thrive in a highly dynamic work environment; able to develop creative solutions.
  • Strong writing and public speaking skills. 
  • Must have professional presence and self-assurance to interact with industry leaders, key executives, high-profile members and entertainment industry partners. 
  • Must be flexible and cooperative in accepting various assignments. 
  • Able to organize, prioritize and coordinate multiple tasks under deadlines.
  • Must be able to work in a challenging environment where constructive feedback from others is encouraged.
  • Must be available and willing to work extended hours per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs.
  • Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs. 

Education and/or Experience:

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree required from an accredited college/university or comparable industry experience required.
  • 5+ years of related work experience in special events planning in a fast-paced environment.
  • Advanced computer skills.
  • Excellent written communication skills.

PREFERRED BACKGROUND: 

  • Union or labor industry experience is highly preferred.
  • Experience in the entertainment industry or a creative environment is highly preferred. 
  • Some supervisory experience a plus.
  • Experience coordinating large-scale events preferred.
