About our Program:
The annual cycle of recruiting Clinical Interns, coordinating with their universities, onboarding, supervision, evaluation, and hopefully hiring requires a person who understands the business process across the state and across different guilds (MSW, MFT, Psych) and can build a shared understanding of stakeholders' (e.g. HR, IT, Clinical Ops) roles and responsibilities.

Pacific Clinics serves children, transitional age youth, families, adults, and older adults. We offer a full range of mental and behavioral health services, foster care and social services, housing, continuing adult education and early childhood education programs to Medi-Cal eligible individuals and families throughout Alameda, Contra Costa, Fresno, Kings, Los Angeles, Madera, Orange, Placer, Riverside, Sacramento, San Bernardino, San Francisco, Santa Clara, Solano, Stanislaus, Stockton, Tulare and Ventura Counties.
JOB SUMMARY
Schedule: Monday through Friday, from 9am to 5pm
Works within the vision, mission, and philosophy of the agency. Acts on behalf of the direct manager with delegated authority to achieve defined outcomes by actively planning and coordinating the execution of agency projects. Participates in activities that develop, coordinate, and implement resources to respond to business needs, improve the quality of agency services and increase awareness of agency programs and services in the community. Has a robust knowledge of and experience in project management methodology and implementation.
RESPONSIBILITIES & DUTIES
• Assists in the creation and maintenance of project plans that support defined scope, timelines, and deliverables in alignment with agency goals and project objectives.
• Supports the coordination of project activities and resources, working closely with leadership and project teams to help ensure tasks are completed on schedule and within allocated budget.
• Works under limited supervision to track project progress and milestones, using standard project management tools to monitor timelines and deliverable status.
• Facilitates and documents project meetings, including scheduling, preparing agendas, taking minutes, and following up on action items to support communication among stakeholders and team members.
• Assists in identifying project risks and issues and contributes to tracking mitigation actions and status updates in collaboration with the project team.
• Provides administrative and logistical support for change management and quality improvement initiatives, including preparation of training materials and tracking of implementation progress.
• Helps collect and organize data to support performance measurement, reporting, and continuous improvement efforts.
• Supports internal communication efforts by helping maintain shared documentation, updating project status reports, and coordinating communication across departments and stakeholder groups.
• May assist in representing the project team at internal and external meetings, ensuring accurate documentation and timely follow-up on key decisions and commitments.
• Performs other related duties as assigned, in support of departmental and organizational project activities.
JOB SPECIFIC COMPETENCIES
• Lead/Support/Contribute to the motivation and coordination of project teams, assisting senior leadership in guiding efforts toward project objectives.
• Prioritize and manage multiple administrative or coordination tasks in a dynamic environment with flexibility to respond to evolving project needs.
• Maintain accuracy and attention to detail in tracking project schedules, preparing documentation, and updating project records.
• Communicate clearly and proactively with team members and stakeholders, ensuring timely updates and responsiveness under general supervision.
• Collaborate effectively across departments and with cross-functional teams to support project alignment and execution.
• Work under limited supervision, applying sound judgment and basic analytical skills to help assess project information and support problem-solving.
• Assist in coordinating overlapping project timelines and help manage task-level responsibilities across multiple assignments.
• Apply foundational knowledge of project management tools and methodologies, such as task tracking, timelines, and risk logs.
• Demonstrate professionalism and resilience when supporting resolution of project-related concerns and navigating change.
• Interpret and summarize data or documentation and assist in the preparation of standard project reports and communications.
• Seek and apply feedback from supervisors and stakeholders to enhance individual performance and improve project support.
• Operate common business technologies and systems, including office equipment and collaboration platforms, to support project activities.
• Communicate effectively in writing and verbally, contributing to documentation, emails, and meeting summaries with professionalism and clarity.
QUALIFICATIONS
• Bachelors of Arts/Science (B.A./B.S.) degree or equivalent experience in business or social sciences required.
• (2) two or more years’ experience in project coordination required.
• Demonstrated proficiency with spreadsheets, and presentation applications. (e.g., MS Office Suite; MS Project) required.
• Ability to represent and market the Agency in a variety of settings and with a wide array of target audiences.
• Ability to develop and make presentations.
• Advanced writing skills.
• (1) One or more years of experience performing qualitative research within the social or behavioral science fields highly preferred.
Must possess a valid CA driver's license and insurance with two years’ experience and maintain an insurable driving record under the agency’s liability policy.
PHYSICAL REQUIREMENTS
While performing the duties of this job the employee is frequently required to stand or sit. The employee is required to use hands to produce records and/or documentation in manual or electronic format. The employee must possess ability to ensure significant communication with the Clinics' community members. The employee must regularly lift and/or move up to 5 pounds and occasionally move or lift up to 10 pounds. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
LEVEL OF CONTACT WITH CHILDREN
✅May/will have unsupervised contact with children.
✅Requires full background check and TB exam.
DRIVING PRIVILEGES
✅May be called upon to drive on agency business. Needs acceptable MVR and appropriate insurance coverage.
TRAINING
Needs to successfully complete all required agency training indicated for this position.
