Position Duties
1. Perform a full range of advanced clerical duties in support of the Executive Director, Facilities Duties may include, but are not limited to, preparing correspondence, reports, project timelines, budget and accounting transaction logs and other documentation and processing a variety of
documents. May perform other clerical duties such as answering phones, data entry and file and records maintenance.
2. Coordinate meetings, appointments and/or special conferences including agendas, preparing materials, scheduling and communicating with students, employees, or presenters, and arranging for equipment and facilities. A end meetings as requested and take minutes.
3. Coordinate and/or lead special projects and events as assigned. Special projects may require taking independent action, displaying detailed focus, coordinating tasks of other individuals and teams, and/or overseeing a project budget.
4. Handle highly sensitive information and confidential records and materials in compliance with state and federal regulations. Maintain confidentiality of information and projects.
5. Create and manage all electronic systems for budget tracking, document handling, maintaining all records and backup systems. Utilize systems to run and prepare reports; interpret and share data as appropriate.
6. Provide specific information upon request and research and resolve problems/concerns according to established policies and procedures. Process ongoing research requests.
7. As initial contact or representative of the office, provide information to students, faculty, staff and the public requiring considerable judgment and interpretation of policies and procedures of the area assigned. Use judgment and initiative in resolving problems and/or concerns.
8. Coordinate annual review, edit, and revision of Student Handbook, Student Life Handbook, and policies/procedures related to student involvement and conduct.
9. Gather information, prepare and proof correspondence, reports, project timelines, budget and other documentation.
10. Assist in budget preparation, monitor current fiscal expenditures and billing data, post and/or record information and process invoices for payment. Facilitate purchases according to established procedures.
11. Adhere to college, federal and state administrative procedures, guidelines, initiatives and directives to ensure compliance with all relevant regulations affecting college operations.
12. Perform other tasks of a similar nature or level as assigned.
Minimum Qualifications
Minimum Qualifications:
- Associate's Degree from an accredited institution
- Three (3) years of related experience
- Higher Education experience.
- Bachelor?s Degree
