Job Description
DEFINITION:
Reports directly to site administrator in order to manage the day to day operations of the school office, not including evaluation of staff; maintains the administrator’s calendar; determines the daily assignments of office staff. This individual must perform general clerical duties such as: compiling and summarizing data; greeting the public; answering phones and screening calls; completing reports; and other work as required. This position requires direct contact with state consultants, fiscal authorities and staff from other sites/departments. Position requires the ability to submit, weekly, monthly and annual reports. Position works closely with families to help them navigate educational and social services.
EXAMPLE OF DUTIES:
Performs a wide variety of skilled secretarial and clerical work, including typing, proofreading, filing, checking and recording information; answers telephone, written or personal inquiries and gives appropriate information based upon an analysis of appropriate rules, procedures and regulations; communicates orally and in writing effectively with a wide variety of staff and community members; independently composes correspondence on a wide range of subjects requiring a knowledge of procedures and policies of the school district; makes appointments for administrator, screens calls, and correspondence, relays messages; types and maintains a heavy volume of complex and confidential reports; compiles reports, handbooks, and special projects from a variety of sources; compiles and maintains records and files; researches and analyzes information for inclusion in reports; may take and transcribe dictation or use dictation equipment for a wide variety of subjects, including information of a confidential and sensitive nature; coordinates work of other staff members to ensure that records are complete and accurate; operates a variety of office equipment and participates in district in-service programs.
QUALIFICATIONS:
Knowledge of:
• Business and telephone etiquette;
• Modern office organization, procedures, practices, and equipment;
• Correct English usage, spelling, grammar, punctuation, and math;
• District policies, rules and regulations applicable to the location;
• Numerical, alphabetical and subject matter filing systems;
• Methods used in preparing statistical reports;
• Coordinated Compliance Review Audit Procedures;
• Record keeping that relates to the delivery of project goals;
• Admission policies and procedures;
Ability to:
• Post, check and maintain files and records accurately;
• Make arithmetical calculations with speed and accuracy;
• Maintain project records;
• Establish and maintain a variety of record-keeping, reference, and data collection systems;
• Follow written and oral directions and learn new procedures rapidly;
• Establish and maintain cooperative working relationships with others;
• Meet physical, mental and environmental demand of position;
• Perform tasks in a safe and efficient manner so as to not cause a risk to health and safety or self or others.
Education, Training, and Experience:
• Completion of the twelfth grade or equivalent;
• Typing: 50 words per minute;
• PC experience
• Preferred: Attend Breakthrough Coaching Training with a Site Administrator
Service Requirements:
