THIS IS A LIMITED DURATION POSITION TO BE EVALUATED EVERY SIX MONTHS FOR CONTINUANCE.
JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 supports the Office of Sponsored Programs team efforts by assisting colleagues in delivering timely service to the research community. This position provides high-quality, coordinated research administrative services to a range of internal customers and external sponsors. Key responsibilities of this position include, but are not limited to, conducting proposal triage, reviewing submission requests (such as just-in-time materials), and managing post-submission documents within Cayuse.
Responsibilities
- Serves as representative in the preparation of grant and contract proposals; reviews sponsor policies and college and University policy and guidelines for compliance.
- Ensures institutional eligibility with extramural agencies by reviewing the Notice of Funding Opportunity (NOFO) document and verifying the budget criteria outlined in the NOFO.
- Conducts proposal triage and resolves issues in a timely manner to ensure project personnel have completed their required COI/OID documentation in DASH Research system.
- Reviews just-in-time requests, post-submission material, and annual, interim, and final Research Performance Progress Report (RPPR) to be submitted to the sponsor.
- Analyzes and enters non-labor cost transfer transactions (manual CTEs) within the DASH system.
- Reviews subcontract's (money-out) invoices and updates the invoice budget forms and invoice logs
- Monitors time and effort reporting in compliance with applicable regulations, and within the new Effort Certification Reporting System.
- Reviews internal requests for sponsor ID accounts and monitors the Pre-Award's email account.
- Maintains records, prepares special reports, and maintains statistics.
- Performs other related duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of experience in office administration and financial management; OR Associate’s Degree in lieu of experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of general accounting principles, strong analytical and problem-solving skills.
- Excellent oral and written communication skills, excellent organizational skills, and the ability to multitask.
- Familiarity with basic computer systems, spreadsheets, and the ability to utilize various software efficiently.
Excellent interpersonal skills, initiative, and the ability to prioritize, multitask and work cooperatively and productively as a member of a team
