Summary of the Position      

The Office Administrator is our “Director of First Impressions” on the phone and in person. The person is responsible for general administrative tasks within the office and also plays a primary role in ensuring that all office administrative functions are coordinated to maintain efficiency and compliance with company policies. 


Essential Duties and Responsibilities*     

    Welcome visitors by greeting them, in person or on the telephone. – You are the first face and first voice of the company

    Maintain security by following visitor procedures: monitoring logbook; issuing visitor badges & visitor safety rules

    Direct visitors and calls to the appropriate Barentz team member

    Maintain, order, and organize office / utility supplies for general office use, executive conference rooms, and employee lounge

    Manage conference room and shared office bookings

    Daily mail/ courier distribution 

    Organize office lunches and events

    Execute administrative and clerical duties in support of management

    Coordinate with office vendors:  cleaning services, copier servicing, office suppliers

    Support continuous improvement projects related to the physical office and processes

    Support marketing initiatives: mass mailings and campaign management

    Support Customer Service paperless workflow process (document scanning and management)

    Assist with operational administrative tasks, such as freight bill approval and invoicing (varies by site)

    Responsibilities may be amended as needed
