Title: Office Coordinator
Reports to: General Manager
FLSA Status: Hourly, Non-Exempt
Division: Mebane, NC
Summary:
The Office Coordinator organizes and coordinates administrative duties and office procedures for the Mebane Truss Plant. This role ensures high levels of organizational effectiveness, communication, and safety. A successful Office Coordinator should be able to accurately handle administrative duties and ensure the smooth running of the office by continuously helping improve overall production and day-to-day operations.
Job Duties:
- Assist General Manager in ensuring effective and comprehensive documentation and processes.
- Enter jobs and generate tickets from MiTek Management into BisTrack for processing.
- Perform BisTrack order entry, processing orders and entering associated materials and costs.
- Invoice completed jobs daily and process A/P invoices for payment.
- Check incoming office products, confirming all products have been received.
- Assist with monitoring MVP functions and supporting safety efforts.
- Answer and route phone calls professionally and efficiently.
- Perform various clerical duties, such as photocopying, scanning, faxing, and general office tasks.
- Sort and distribute communications and prepare delivery packets for next-day jobs.
- Document inventory discrepancies, damages, or defects.
- Manage vacation calendar, complete expense reports, and order office supplies.
- Maintain office conditions and adhere to company procedures and policies.
- Fulfill other necessary duties, as required.
Qualifications & Requirements:
- Comfortable interacting with customers in person and over the phone
- Ability to multitask while providing superior customer service
- Maintains a positive attitude throughout the workday
- Committed to company values and policies
Education/Experience:
- High School Diploma or General Education Degree (GED); or equivalent combination of education and experience.
- 1 year of prior receptionist or call center experience is strongly preferred.
- Previous experience with BisTrack is a plus.
