Job Summary:
Under the general guidance and supervision of the Chief Financial Officer, the Accounting Specialist is responsible for day-to-day accounts payable and accounts receivable functions, including member billing and follow-up on outstanding balances. This position also supports monthly close activities, maintains fixed asset records, and assists in gathering financial data for internal reporting and metrics. The Accounting Specialist works collaboratively with other departments to ensure proper coding and approval of invoices and to coordinate billing for events or member-related charges.
Duties/Responsibilities:
Accounting
- Process all member billing monthly and follow up on outstanding receivables in a timely manner
- Coordinate with internal departments on member billing, ensuring accurate invoicing and proper documentation
- Prepare and process weekly accounts payable, ensuring proper coding and departmental approval prior to payment runs
- Investigate and resolve discrepancies on vendor statements and coordinate corrections with vendors and internal departments
- Maintain and update vendor records to support accurate 1099 reporting
- Collaborate with department heads to ensure proper approval and accurate coding of vendor invoices
- Organize and maintain digital and physical accounting files in accordance with internal policies and record retention standards
- Support the CFO with scheduled and ad hoc reporting needs
- Assist in reviewing daily cash activity and help ensure transactions are properly recorded
- Provide documentation and support for internal audits and assist the CFO in gathering necessary materials for the annual 990 preparation by the external CPA firm
- Perform general accounting support tasks and assist with special projects as assigned
Required Skills/Abilities:

- Tactful, courteous, and diplomatic in interactions with members, guests, and colleagues
- Clear and professional communication skills, both verbal and written
- Collaborative team player with the ability to work well across departments
Education and Experience:
- Associate’s degree in accounting, Finance, Business Administration, or a related field preferred; equivalent work experience will be considered
- 1–3 years of relevant experience in accounting, bookkeeping, or finance support roles
- Experience in accounts payable, accounts receivable, and member billing strongly preferred
- Proficiency with accounting software and Microsoft Excel is desirable
- Prior experience in a private club, hospitality, or membership-based environment is a plus but not required
