Demonstrates extensive patient access registration functions including but not limited to; Emergency Room, Urgent Care, Outpatient, Ambulatory and Surgery registrations. This position develops the staff schedule and has expertise related to telephone communications (ED switchboard), insurance and medical necessity verification, eligibility, and assuring the hospital is compliant with applicable rules, regulations and laws.   Provides direction and assistance to the Patient Access associate staff during scheduled hours as well as after hours for immediate needs.  The coordinator will attend specific meetings and work with IT to develop, monitor, and report electronic system issues that impact patient registration access issues.

 

 Essential Duties & Responsibilities:

  •        Assist the Patient Access Director with employee education, training, provide refresher courses and communicate updates for the department/hospital. 
  •        Assists the Patient Access Director with 90-day evaluation feedback regarding new hires
  •        Maintains up to date knowledge related to Communications (ED Switchboard), ED, Urgent Care, Outpatient and Surgery registration processes which include Experian Medical Necessity, eligibility and quality assurance.
  •        Maintains knowledge of the Department of Therapy registration and scheduling workflows.
  •        Monitors face sheets to make sure audits are complete within three days from the date of registration and all necessary follow-ups are completed in a timely manner.  Assists in documenting statistics for monthly reporting and providing feedback and education to staff on accuracy performance.
  •       Plans and implements staff development activities by supplying department information on a timely basis and scheduling training and monitoring improvement
  •       Assists the Patient Access Director providing training and reviews on topics that are below statistic benchmarks.
  •       Tracks the trends and patterns on audits to review at monthly meetings.  
  •       Prioritize daily department operations and assign work tasks with expectations.
  •       Review and organize each shift to provide lunch coverage for staff.
  •       Informs Patient Access Director of departmental/employee issues and if/when resolved.
  •       Subject matter expert regarding eligibility, medical necessity and other Experian products.
  •       Regularly updates registration cheat sheets and the electronic patient access insurance book master and distributes the updates to appropriate     department(s).   
  •       Motivates staff and maintains a high level of morale among department personnel by fostering a sense of teamwork.
  •       Coordinates and fills in for call-offs and scheduled and unscheduled time-offs as well as when department is short-staffed.
  •       Prepares the schedule six months at a time and distributes at least two weeks before the current working schedule ends.
  •       Assists with completing payroll when Patient Access Director is unavailable
  •       Assists Patient Access Director in reviewing, investigating and completing Safety and/or Feedback events within Quantros
  •       Serves on standing and/or ad-hoc committees as needed.
  •       Maintains the integrity of confidential patient information in accordance with HIPAA and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee’s job duties.  Also maintains confidentiality of other customers and hospital business affairs.
  •       Adheres to the standards of Magruder Hospital’s corporate compliance policies and seeks guidance and training when necessary to resolve questions about the policies.  Reports violations in accordance with corporate compliance and organizational standards.
  •       Reports to work on time and as scheduled; Shows respect for co-workers by following established break times;   Keeps personal conversations and telephone calls to a minimum.
  •      Communicates and enforces hospital culture, values and standards of performance in a consistent and thorough fashion
  •       Assists in preparing and monitoring department goals.
  •      Other duties as requested or assigned.
