SUMMARY:  Under supervision, the Payroll Assistant performs work of moderate difficulty in payroll and human resources administration and performs related work as assigned.  

 ESSENTIAL FUNCTIONS :

  • Assists department in payroll processing and carrying out various human resource programs and procedures for all company employees.
  • Able to effectively explain company personnel policies, benefits and procedures to employees and job applicants.
  • Assists in administration of the background and drug screening process; helps monitor drug screen results and communicates to hiring manager.
  • Conducts new-employee orientations; coordinate cohort set up and schedule employees for next cohort.
  • Responsible for new hire processing, issuing of employee access codes, recording of employment changes and terminations in various human resources information systems.
  • Answer questions regarding payroll, benefits, eligibility, paid and unpaid leaves, and other pertinent information.
  • Record and update employee information into the human resources information system and other systems such as employment and leave status, benefit enrollment and changes, payroll related information (weekly hours, permanent and temporary deductions, wage attachments, tax withholdings, direct deposits), etc.
  • Review and audit time sheets, wage computation, deduction entries, labor distribution, and other information to detect and reconcile payroll discrepancies.
  • Process and issue employee paychecks and statements of earnings and deductions.
  • Record and reconcile payroll adjustments.
  • Verify employment, attendance, hours worked, pay adjustments, departmental labor distribution and payroll charges and post information on designated records.
  • Assists with the administration of the substance abuse policy, including random drug testing coordination and compliance.
  • Assists with online training administration including enrolling employees in appropriate courses and logging of all training hours in the learning management system.
  • Files WC-1, WC-14, OSHA 300 log, ACA and EEO-1 reports; maintains other records, reports and logs pertaining to applicant flow procedures and workers compensation.
  • Ensure all received HR documents are in compliance with federal and state laws.
  • Maintains human resource information system records and compiles reports from the database as needed.
  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Helps maintain company organization charts and the employee directory.
  • Organize and maintain employee personnel files.
  • Safety and security

    • Work together on exercising prevention methods to minimize injury or loss.  Suggest solutions to mitigate hazards.
  • Performs other related duties as required and assigned.

SUPERVISORY RESPONSIBILITY:

  • This position has no direct supervisory responsibilities.

WORK ENVIRONMENT:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS:

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

  • Able to effectively use the Goggle and Office suite of products.

EXPECTED HOURS OF WORK:

  • Some flexibility in hours is allowed, but the employee must be available during office hours from 8:00 a.m. to 5:00 p.m.
  • Must work 40 hours each week.

TRAVEL:

  • Some local, neighbor island and U.S. mainland travel to various store locations may be required.
  • Less than 6 days per year. 

QUALIFICATION REQUIREMENTS:

A bachelor’s degree in human resource management, or two years administrative experience in an office setting.
