Hybrid Administrative Assistant II (Secretary to the Principal) - Seaford Middle School bei Seaford School District

• Minimum high school diploma with documented business and/or secretarial course work beyond high school level; college degree preferred
• Proficiency in clerical skills including typing and record keeping
• Knowledge of and experience with technology; Microsoft programs preferred
• Ability to communicate and relate to the public in a professional, courteous and efficient manner including proper telephone etiquette skills
• Established record of good attendance and performance
• Previous school-level experience preferred
• Develop and maintain effective and cooperative working relationships

• Communicates correspondences for the administration
• Maintains school financial records, including student activities and grant funding utilizing First State Financials (FSF) 
• Maintains an orderly main office area and coordinates the main office
• Assists in keeping accurate records on students’ absences, including the posting of appropriate information
• Process invoices
• Prepares deposits for student activities
• Prepares purchase orders
• Keeps up-to-date postings and balances for accounts
• Checks in packages against the invoices
• Maintains inventory of supply cabinet and places orders as requested
• Fills teacher supply needs as requested
• Maintains records for safety and security
• Maintains Absence Management System
• Prepares correspondence, notices, bulletins and reports as directed
• Services office machines
• Attends after school meetings when requested by administration and records minutes
• Assist administration in the September 30^th Unit Count process
• Maintains website
• Maintains supervisor’s calendar
• Maintains the field trip process including but not limited to requests, payment of vendors, chaperones, approvals, etc.
• Maintain an accurate accounting of school budgets and purchases and complete financial documents - utilizing First State Financials (FSF). This includes deposits, writing of checks and monthly reconciliation of statements
• Coordinate processes with supervisor.  Examples include; Teacher of the Year, Seniority lists, End of year programs, special events, etc.
• Process supplemental pay information for after school programs
• Oversees end of year closeout procedures and prepares materials for the new school year
• Keep an up to date calendar of school/district events
• Handle swipe card requests
• Performs other duties as assigned
