Position Description

Directs, plans, coordinates and supervises the operation and activities of a specialized unit or small department; develops and implements policies and procedures, administers the budget, organizes tasks and sets priorities. Serves as liaison with university personnel and community at large. Works under general supervision with broad latitude for initiative and independent judgment.

Major/Essential Functions

  • Creates, processes, and tracks purchase orders. Maintains records of orders and inventory and follows up with vendors on shipment and delivery.
  • Leads budget planning and implementation for the six departments within TTUHSC Student Affairs. Trains Student Affairs divisional staff on budget, purchasing, travel, and institutional systems, such as TechBuy and Chrome River.
  • Supervises divisional office staff, including any business assistants and student employees.
  • Assists with regional contracts for student health, gym memberships, vending - communicating with student affairs representatives at each TTUHSC location.
  • Oversees and manages all Student Services Fees (SSF), serving as fiscal fund management of all SSF FOPs, verifying all transactions align with the guidelines set by the Texas Higher Education Coordinating Board.
  • Oversees the scheduling, planning, and processes of the Student Services Fee Committee, which creates the SSF Budget and submits to the Office of the President for approval.
  • Acts as liaison for division with multiple departments such as the Budget Office, Accounts Payable, Human Re-sources, and Purchasing
  • Provides high-quality customer service with a friendly and professional attitude in all day-to-day interactions.

  • Fosters positive working relationships and maintain open, respectful communication with staff across multiple regional campuses.
  • Promotes a collaborative and inclusive work environment through consistent, approachable, and solution-focused support.
  • Utilizes Microsoft Excel to manage, analyze, and maintain financial data with accuracy and efficiency for division.
  • Performs monthly account reconciliations to ensure accuracy of records and identify and resolve discrepancies in a timely manner.
  • Prepares, monitors, and updates financial reports, spreadsheets, and tracking documents related to budgets, expenditures, and account balances.

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as the institutional pay plan. For additional information, please reference the institutional pay plan website at https://app4.ttuhsc.edu/payplan.

Occasional Duties

  • Processes travel by creating travel applications/vouchers and, collecting receipts, documentation, and recording in TTUHSC systems.
  • Maintains records associated with asset control and property inventory.
  • Collects revisions to and prepares the Student Handbook for approval by the Board of Regents annually.
  • Actively participates in the Student Affairs Committee and other relevant committees as needed to support departmental initiatives and organizational goals.
  • Attends meetings and works closely with cross-functional teams to ensure the successful execution of committee-driven projects and initiatives.
  • Attends trainings in budget management, procurement processes, and professional development to enhance knowledge and skills in support of divisions's  operations and initiatives
