Assignments may include day, evening, and/or weekend and will require traveling to Leeward CC’s Waianae Moku campus, the University of Hawaii at West-Oahu (UHWO) and other UH campuses and sites.
Duties and Responsibilities
(NOTE: * denotes Essential Functions)
- *Under general supervision, coordinates and supports the mental health team’s efforts in identifying and carrying out work priorities; provides administrative and logistical support to the College’s Mental Health team and its office. This includes but is not limited to coordinating and participating in activity planning and implementation; standardizing processes, procedures and forms; assisting with communication and marketing; and other such matters related to carrying out the grant’s objectives.
- **Assist with grant reporting, evaluation and improvement. Coordinates the gathering and compiling of data and information necessary to assess and measure the effectiveness of projects and goal attainment.
- *Create, distribute, collect and assess surveys to recommend improvement with activities and support services.
- *Organize, coordinate and participate with and support national consultants and campus stakeholders to create and implement a mental health strategic plan; assisting with the administrative processes of recruiting, selecting and managing graduate-level interns; and assisting in the configuration and deployment of an electronic record-keeping system.
- *Build and maintain positive, collaborative relationships with all members of the mental health team, campus colleagues, and external partners.
- *Maintain confidentiality of all student, clinical, and administrative information.
- *Supports the mental health team’s participation in administrative, grant and fiscal related processes, including procurement, travel requests, etc. in compliance with the University of Hawaii (UH), Research Corporation of UH (RCUH), and UH Foundation (UHF) policies and procedures.
- *Participates in the College’s procurement, human resources, budgetary and facilities use processes; preparing software systems and technology in accordance with UH, RCUH and UHF policies and procedures.
- *Coordinates the development of office procedures and processes that increase efficiency and function within the mental health office.
- Manage the coordination of all space requirements for the mental health team.
- Supervise student employees.
- Other duties as assigned.
Minimum Qualifications
- Possession of a baccalaureate degree in education, psychology, social work, public health, business, public administration or related field and 0 years of progressively responsible professional experience with responsibilities for project coordination, administrative duties, or office coordination; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in project coordination, administrative duties, and/or office coordination, as demonstrated by the knowledge, understanding, and ability to apply concepts and terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with the planning and implementation of administrative and fiscal related processes.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of project coordination, office coordination, and/or technical assistance.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer and apply word processing software.
- Demonstrated ability with spreadsheets, databases, and/or presentation software.
- Demonstrated ability to manage work priorities and projects.
- Detail oriented with the ability to plan, organize and work on multiple projects and provide support to multiple people simultaneously.
- Able to work independently, make effective timely decisions and meet deadlines in a dynamic and ever-changing environment.
- Ability to maintain confidentiality and to use discretion when responding to inquiries.
- Ability to exercise judgment, tact, patience, and discretion in applying and explaining policies and procedures.
Desirable Qualifications
- Master’s degree in education, psychology, social work, public health, business, or public administration; or related field.
- Experience working in higher education or a mental health setting.
- Knowledge of computer technology, database management, internet or desktop publishing.
- Experience extracting and interpreting data from electronic records databases and software systems, and provide findings through written reports.
- Knowledge of UH administrative policies and procedures.
- Experience using financial management systems for budgeting and procurement.
- Supervisory experience.
