POSITION: Office Services Coordinator
HOURS: 40 hours a week Monday – Friday; 8:30-5:00pm
WAGE: $18-22 an hour (new employees should anticipate being hired at the beginning of the wage range)
SUPERVISOR: Chief Operations Officer
STATUS: At-will, Non-exempt, Full-time

Job Summary: Under the general supervision of the Chief Operations Officer, the Office Services Coordinator plays a pivotal role in delivering comprehensive clerical support, customer service, and main office assistance, while contributing to resource development. Customer service to the public, vendors, donors and Club families is a priority. This position is responsible for working with and supporting the administrative team in a variety of tasks including but not limited to: clerical tasks, data entry, customer service, office supply ordering and facility rentals. Must be cooperative, friendly and create a safe and harmonious environment. Abides by and supports the Club mission, to inspire and enable all young people to reach their full potential as caring, productive and responsible citizens.
Essential Job Responsibilities:
- Respond to inquiries from the public, staff members, board members, and volunteers.
- Organize and prioritize information and calls efficiently.
- Manage supply orders and oversee office equipment maintenance.
- Maintain the upkeep, safety, security and appearance of the Club office spaces.
- Support day-to-day facility operations such as mail handling, vendor support, facility access and phones.
- Coordinate multiple calendars with pertinent organizational information.
- Greet the public and facilitate effective communication.
- Oversee voicemail systems and ensure timely responses.
- Maintain main office display boards and kiosks.
- Update report binders, handle filing, and perform photocopying and scanning of documents.
- Work independently and collaboratively on special, recurring, and ongoing projects and events.
- Enter data into the donor database and program systems.
- Generate acknowledgment letters and support mailers.
- Organizes and cleans various main office areas such as the office supply closet and kitchen.
- Support staff recognition systems.
- Provide support with name badges, keys, and office systems.
- Resolve problems creatively and innovatively.
- Offer quality customer service by welcoming and assisting the public, parents, members, and outside groups.
Facility Rentals
- Facilitate completion of facility rental agreements and documentation.
- Ensure rental staff support needs are met.
- Ensure rental parties adhere to insurance and policy requirements.
- Support marketing of facilities and public outreach.
- Create and sustain relationships with facility renters.
- Supports rental strategies and policies for BGCNV.

Requirements
- First Aid & CPR certified.
- Pass TB test.
- Pass FBI, DOJ and overall background check.
- Must be approved as a driver by our Club auto insurance provider.
- 2 years of customer services experience preferred.
- Excellent oral and written communication skills, interpersonal skills development and maintenance.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
- Requires the mobility to stand, stoop, reach and bend.
- Requires the mobility of arms to reach and dexterity of hands to grasp and manipulate small objects.
- May require to ability to stand for long periods.
- May require the ability to walk long distances.
- May require the ability to work evenings and weekends as requested.
