Job Description

Essential Job Functions:

Compiles student records (i.e. grades, test scores, credits, personal data, health, etc.) for the purpose of meeting state, federal and District requirements.

Composes documents (i.e. correspondence, agendas, reports, letters to parents, etc.) for the purpose of communicating information to school and District personnel, the public, state officials, etc.

Ensures accuracy and authenticity of student records, including grades, credits, and immunization records, for the purpose of complying with ed codes regarding student records.

Maintains a variety of files, documents and records for the purpose of ensuring documentation for future reference in accordance with administrative and legal requirements.

Monitors policy related information (i.e. District attendance boundaries, foreign exchange quotas, etc.) for the purpose of adhering to District policies and ed codes.

Prepares documents and written materials (i.e. drop sheets, enrollment and withdrawal forms, reports) for the purpose of conveying or documenting information regarding school activities and/or procedures.

Processes requests from students, other districts, colleges/universities and public agencies (i.e. transcripts, disciplinary, inter/intra district transfer agreements, withdrawal forms, legal documents, etc.) for the purpose of providing requested information.

Procures written materials (grades, school debts, discipline, and attendance) for the purpose of disseminating information to appropriate parties.

Researches various information (i.e. course descriptions, student history, policies, etc.) for the purpose of providing information and addressing a variety of District requirements.

Responds to inquiries from various internal and external parties (i.e. staff, parents, student, public agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required.

Supports counseling department and assigned administrative personnel for the purpose of providing assistance with their job functions.

Validates official documents (financial aid forms, GPA and class rank forms, transcripts, etc.) with official school seal and signature.

Other Job Functions:

Assists other personnel for the purpose of supporting them in the completion of their work activities.

Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.

Oversees student workers for the purpose of meeting operational requirements.

Job Requirements - Qualifications:

Knowledge, Skills, and Abilities

Knowledge is required to perform basic math including calculation of fractions, percents and/or ratios, to read technical information, create and/or compose a variety of documents and/or facilitate group discussions; and solve practical problems.  Specific knowledge required to satisfactorily perform the functions of the job includes: codes, regulations and laws related to student enrollment, graduation, transfer and student records.

Skills to perform multiple technical tasks.  Specific skills to apply pertinent codes, policies, regulations, and/or laws; communicate with persons of varied cultural and educational backgrounds; operate standard office equipment, perform clerical procedures; prepare and maintain accurate records, utilize pertinent software applications.  Keyboard/computer literate.

Abilities to deal with a level of complexity of tasks that require significant processing of data; discretion, independent action and/or judgment with regards to working with people and date; uses and/or sources of data; and interacting with persons or agendas that frequently change.  Ability is also required to work with a significant diversity of individuals and/or groups.  Problem solving is required to analyze issues, create plans of action and reach solutions.  Specific abilities to be attentive to detail, meet deadlines and schedules; work under time constraints.  Type 45 wpm.

Responsibility.  The resources required (people, equipment, facilities, and/or funding) necessary to perform job functions are of a moderate scope and moderate opportunity exists for significant impact (positive or negative) on the organization’s mission.

Working Environment: The job functions are generally performed in an indoor environment requiring the following significant physical abilities: reaching, handling, fingering; stooping, lifting and/or feeling; sensory speaking, hearing and visual.

Educational Requirements: High school diploma or equivalent.

Experience Requirements: Two years related experience with increasing levels of responsibility is a prerequisite.

Licensing, Certification, Testing Requirements: Fingerprint/criminal justice clearance; Tuberculosis clearance, valid drivers license and evidence of insurability.

Experience requirements: Two (2) years job related experience with increasing levels of responsibility is a prerequisite. A 45 wpm typing test is required.
