QUALIFICATIONS: This position requires knowledge of proper English usage, grammar, punctuation, vocabulary, and spelling; proper office methods and practices, and letter and report writing; KHSD’s general operations, policies, regulations, and procedures; basic financial accounting and bookkeeping methods, practices, and requirements; procedures, activities, and operations related to assigned department.

Must possess the skill to accurately type at the rate of 60 net wpm; understand and carry out both oral and written instructions in an independent manner; understand and apply District departmental policies and procedures without immediate supervision; effectively and tactfully communicate in both oral and written forms; perform a variety of complex secretarial/clerical work with speed and accuracy; organize and prioritize the work of self and others; perform mathematical calculations at a level necessary for satisfactory job performance; apply good judgment in recognizing scope of authority; operate standard office equipment/machines such as copier, typewriter, calculator, computer terminal, assigned software and transcription equipment; establish and maintain effective work relationships with those contacted in the performance of required duties.

Must possess the ability to perform a variety of administrative details not requiring the immediate attention of assigned administrator; acts as liaison between assigned department/administrator and other departments, schools, and the community; schedules appointments and maintains calendar for assigned administrator and other staff members as necessary; receives calls and visitors; provides requested information, answer questions, and/or refer to appropriate resource/staff members as needed; arranges and schedules a variety of meetings; notifies participants and confirms dates and times; reserves meeting sites and prepares needed material and agendas; makes travel arrangements for assigned administrator and other staff as assigned; makes transportation and hotel reservations and coordinates changes in arrangements as necessary; word processes and types a variety of materials such as reports, letters, memos, charts, graphs, and requisitions from rough drafts or oral directions; processes District agreements and leases for various facilities and/or service contracts; updates contracts independently; arranges renewal of agreements as necessary; monitors and maintains District: collective bargaining agreements and memorandums of understanding with all labor groups; monitors departmental/office budget and maintains related records of all expenditures; processes purchase orders as needed and balances monthly accounts; completes tax exemption certificates for District property and/or equipment; processes District membership applications for enrollment in educational and city and/or state organizations; perform related duties similar to the above scope and functions as required.

Must possess the skill to plan, organize, supervise, and formally evaluate the work of others.

A RECENT TYPING CERTIFICATE MUST ACCOMPANY THE APPLICATION IN ORDER TO BE CONSIDERED.

DUTIES OF POSITION: To act as secretary to an Assistant/Associate Superintendent and to perform a wide variety of highly complex and responsible secretarial/administrative support functions related to the day-to-day operations of specific programs within assigned department. This employee is also the negotiations secretary and is involved in all aspects of bargaining. Job flyers for all administrative employee openings within the District are prepared by this employee; interview dates are scheduled and Board approvals items prepared. Employees in this classification receive limited supervision from an Assistant/Associate Superintendent within a framework of policies and procedures. Employees in this job class may supervise the work of others. This job class is responsible for performing a wide variety of administrative support activities and requires knowledge of District-wide operations as well as assigned technical/specialized subject matter. This position requires strong organizational skills, communications skills and the ability to coordinate and monitor a variety of project/activities from inception to completion.

STARTING SALARY: $6,475.44 (monthly)

NUMBER OF MONTHS:        12 (to begin as soon as possible)

NUMBER OF HOURS: 8 (daily working hours to be 7:30 a.m. – 4:30 p.m.)
