About the Department
Performs all mail office functions for Florence Utilities. Receives payments for Florence Electricity Department and individual payments invoiced by the Electricity Department. Receives and processes customer inquiries, requests, and problems by phone, mail, and personally. Performs other duties as required.
Position Duties
- Sorts postal mail and inter-office mail received by Florence Utilities and delivers it to the appropriate person or department.
- Prepares payments received in the mail by Florence Utilities for other employees to credit payments to proper customer accounts or general ledger accounts. Preparing payment entails opening envelopes, verifying the amount received equals the amount on remittance advice, verifying or determining the proper account to be credited, and verifying checks received are properly prepared.
- Informs Collections of special handle payments, such as accounts subject to disconnect for non-pay, cash basis-only accounts, and accounts previously written off.
- Contacts customers by mail, by telephone, or in person concerning payments by mail.
- Responsible for investigating and taking appropriate action on returned mail.
- Responsible for picking up/taking mail to the Post Office on the assigned week and assisting in running postage on mail.
- Performs limited typing.
- Assists in Accounts Receivable as needed.
- Performs other duties as assigned.
Minimum Qualifications
- Requires a high school diploma, preferably with coursework in business math, bookkeeping, office procedures, and office equipment and computer operations.
- Requires a minimum of six months experience in a similar or related job.

- Must have thorough knowledge of the appropriate applications of the Daffron accounting system currently being used by Florence Utilities or be able to learn.
