We have an exciting opportunity for a full-time Support Staff II Floater to join our team of talented professionals.
As the Support Staff II Floater, you will be responsible for providing administrative and clerical support to various programs and departments within the organization. This flexible role ensures continuity of services by filling in for absent support staff or assisting with special clerical office projects. Responsibilities include front-desk coverage, appointment scheduling, client check-in/check-out, data entry, and other support tasks to ensure the efficient and compassionate delivery of behavioral health services. Regular working hours are Monday thru Thursday 8am – 4:30pm with evening coverage, Fridays 8am – 5pm, and some Saturdays 9am – 2pm.
Specific Responsibilities
1) Travel between departments and/or satellite locations as assigned.
2) Provide cross-coverage for front desk staff and other administrative roles during absences or high-volume periods.
3) Adapt quickly to varying workflows, team cultures, and procedures
4) Maintain awareness of each department’s protocols and adjust work habits accordingly.
5) Serves as office receptionist
6) Answer telephone, record and distribute messages as appropriate
7) Knowledge of office methods, procedures, and equipment and business writing.
8) Reviews, evaluates, verifies, and enters admission documents and information into the electronic health record system (EHR).
9) Gather client information and fees as needed and identify insurance changes.
10) Schedule all client appointments in combination with clinical staff and CAU.
11) Scheduling psychiatric appointments and assessments as needed.
12) Track various data for programming needs and maintain data in binders/spreadsheets.
13) Prepare and send letters as requested.
14) Assist in organizing program needs
15) Email/communicate any incident reports to QI and related team member and maintain binder.
16) Prepare programming documents for staff.
17) General secretarial duties including but not limited to typing, copying and filing as requested and as necessary.
18) Verify Medicaid and other insurance information each month. Complete a change form, copy new insurance, and submit information to Financial Support Staff person when necessary.
19) Work in coordination with other support, case management and clinical staff.
20) Complete 24 hours of program and or position specific training annually.
21) Other duties as required.
Requirements
To qualify for this position, you will need the following:
High School diploma with a minimum of 2 years clerical/reception experience; proficiency in a variety of computer programs, especially word processing software, and dedicated software systems; excellent written and verbal communication, organizational, and multi-tasking skills. Must be able to attend to details, track and prepare data accurately and in a timely way. Needs the ability to interpret a variety of instructions furnished in writing, or orally. Needs the ability to work with a wide variety of clients and staff.
