Operations Assistant


Location: Plantations at Haywood- Greenville, SC


Summary 

Under regular supervision of the Community Manager, the Operations Assistant is responsible for effectively supporting the needs of the Community Manager and other office staff by implementing and upholding administrative systems, procedures, policies, and organizational support.





 I.  ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Demonstrate strong sales and customer service skills to both internal and external customers
  • Performs general clerical duties to include but not limited to photocopying, faxing, mailing, scanning, filing, and preparation of routine correspondence and memoranda in accordance with instructions.
  • Ability to plan, organize and prioritize tasks according to schedules and deadlines.
  • Ability to multitask and thrive in a deadline-oriented work environment.
  • Proficiency with maintaining accurate records and reports.
  • Must have excellent communication skills, both verbal and in writing.
  • Maintains and creates files per NHE, Inc. filing system and ensures that filings are maintained and current.
  • Assures that the work meets quality and production standards by reviewing the work for accuracy and proper completion.
  • Conduct billing, file, utility, dashboard, and Net Vendor (compliance) audits.
  • Perform work order audits, including callbacks and follow-ups.
  • Complete knowledge checks for Elise AI leasing assistant.
  • Assist Readiness Maintenance Supervisor with Yardi UAD updates and audits.
  • Maintain and update the electronic turn board, coordinating with the Readiness Maintenance Supervisor to keep all scheduling on track.
  • Perform unit inspections (Move-out statement/charges, pre-move-ins, and units on notice).
  • Handle vendor outreach for missing invoices.
  • Generate and deliver violation and other miscellaneous notices.
  • Manage resident communications.
  • Lead follow-up & tours as needed.
  • Complete required Grace Hill and KnowBe4 training
  • Review and approve personal timecard for payroll purposes.
  • Assist with leasing tasks as needed.

IV. EDUCATIONAL AND/OR EXPERIENCE

Educational level typically acquired through completion of high school; six months related experience and/or training; or equivalent combination of education and experience.


V. SKILLS & QUALIFICATIONS

In addition to the essential duties and responsibilities noted above, the following skills and abilities are required for the performance of the essential duties of the job.  Employees in this job perform and oversee a variety of general office support assignments where the processing of documents and recording, retrieving, and distribution of data or information are an essential and/or substantial part of the work.

 

Previous experience in an office setting required. Ability to maintain confidentiality is critical.  One must be an experienced administrative professional who is dependable and highly organized with business maturity, discretion, enthusiasm, a positive attitude.  The ideal candidate would be a self starter who can work independently and follow direction with sound judgment. Proficient reading and math skills are a must.
