The Coordinator of Youth and Family Services works closely with the Business Manager to provide administrative coverage for the outpatient offices. They provide a wide range of administrative functions, including billing and special projects.
FLSA Status: Non-exempt, hourly
Schedule: Monday - Friday 9:30PM-6PM
Reports To: Business Manager
essential duties
Administrative Tasks
- Answer and transfer telephone calls to the appropriate employees.
- Coordinate with Counselors and Therapists to process releases of client information in accordance with WACs and agency policies and procedures.
- Provide telephone callers with referrals to internal and external resources.
- Collaborate with the Client Services Specialist to schedule and provide assessment paperwork to new clients.
- Collect, enter, prepare, and submit data, to support the Performance Quality Improvement (PQI) process.
- Order, stock and distribute supplies as requested.
- Manage client registration and maintain the client portal.
Billing and Collections Tasks
- Verify clients’ insurance coverage and communicate eligibility as appropriate.
- Complete all financial arrangements for services.
- Collect and coordinate all required documentation from clients for requesting fee reductions.
- Interpret and explain benefit information received from insurance companies to clients.
- Follow up on unpaid claims from insurance companies.
- Run monthly client statements, review for billing accuracy, and prepare and mail statements to the respective clients.
- Collect and accurately post payments to client accounts in a timely manner.
- Enter client information into the King County system, as needed.
- Pull and interpret Medicaid client reports from the King County system.

a.Education and Experience
- High School Diploma or General Education Diploma (GED).
- Minimum of 2 years of relevant working experience.
- Demonstrated knowledge of MS365 Power Platform.
b. Additional Requirements
- Must satisfactorily pass criminal history check.
- Must satisfactorily pass tuberculosis (TB) test.
- Must have reliable transportation and a valid Washington State driver's license (or be able to obtain one by date of employment).
- Employees and volunteers who operate their own or Friends of Youth vehicles on Friends of Youth business, must have a safe driving record as defined by Friends of Youth.
- Employees and volunteers who operate their own vehicle(s) on Friends of Youth business must carry auto liability insurance that complies with the requirements of Friends of Youth.
- Proof of COVID-19 vaccination is required. There are no exemption
