The Party/Event Specialist is responsible for providing excellent customer service to the patrons of the Bernard Weinger JCC hosting parties and events.
As a Party/Event Specialist, you will create a welcoming presence for hosts and attendees, monitor the safety and inclusion of all attendees, assist with food/snack/beverage, assist with gift collection and transport to host vehicles after the party and post-party recovery and clean-up.
You will be a team player and problem solver with a “can-do” attitude maintaining a positive image of the agency at all times. When not managing an event, additional responsibilities include covering the front Customer Engagement Desk.
Key areas of responsibility:
Party/Event Specialist:
- Greet all members, visitors and staff in a warm and welcoming manner.
- Ensure event host and guests are signed in with any necessary waivers submitted prior to the start of the event.
- Arrive up to one hour prior to event to set up room, and food service; prepare transport carts with any/all event supplies.
- Work with the Events Coordinator to understand the scope, activities, prep, and recovery of the event/party no less than one-week prior.
- Create a fun, safe, inclusive, and celebratory environment through good communication to all attending the party/event.
- Limit activities to agreed upon rooms/areas for the party/event.
- Send party/event recap within 24 hours of the event to Manager, Customer Engagement.
- Work with facilities team to provide any last-minute changes needed. Coordinate throughout the event to ensure customer satisfaction, including, but not limited to room temperature, restroom cleanliness, proper room setup, etc.
- Creative problem-solving for day of issues that may arise. Some examples may include: relocating a group inside due to rain, helping with AV equipment, assisting to direct vendors with delivery, trouble shoot any double bookings, connect with Manager On Duty for any safety or security issues.
Front Desk Coverage:
- Ensure visitors and staff show proper identification and purpose for being in the building when covering front desk.
- Manage front desk phones, including incoming, outgoing and inter-office calls.
- Assist with meetings with building requests.
- Handle and keep track of cash, check and credit card transactions per agency policies and procedures.
- Communicate customer comments, concerns and suggestions to the appropriate staff.
- Work with Customer Engagement Manager to solve customer issues quickly and efficiently.
- Work with building security to ensure proper closing procedures for the building.
- Be familiar with current events and program offerings for the entire agency.
- Provide administrative support to Bernard Weinger JCC business and program departments.
- Responsible for updating and maintaining member accounts and member cards.
- Maintain composure, positive presence, and efficiency in face of competing priorities.
Key Essential Job Duties/Physical Requirements:
- Lift/move children up to 40 lbs and carry them to safety in an emergency.
- Ability to stand, walk, stoop, kneel, crouch, or crawl.
- Ability to lift up to 25 pounds.
- Ability to manipulate, set-up, and tear down, materials needed for games/activities without assistance.
- Ability to stand and be active for 2-4 hours during an event/party.
- Ability to sit for long periods of time (up to 8 hours) in front desk area.
- Repetitive movement of arms and hands to operate computer, keyboard and mouse.
- Ability to operate equipment such as phone, computer keyboard, calculator and standard office equipment.
- Vision: must be able to distinguish between colors, shades and brightness with ability to focus.
- Repetitive physical ability to stand up and assist clientele and vendors with all building entrance, as well as all doors.
- React with physical and mental alertness in emergency situations and assist in evacuation process.
Days/Hours/%Travel:
Days and times may vary. Evenings and weekend availability is required. Scheduling is on an “on-call” basis per party bookings (typically known two-three weeks in advance).

Education Qualifications:
- High School Diploma; Bachelor’s degree (or working towards) preferred
Previous Experience:
- Must demonstrate previous administrative and customer service success.
Other Requirements:
- Excellent communication skills (both written and oral).
- Highly organized with ability to manage own workload with attention to priorities, timelines and deadlines.
- Strong problem-solving skills, empathy and comfort level interacting with all ages.
- Must be able to work in a fast-paced environment with demonstrated ability to multitask with a strong attention to detail.
