Title: Volunteer Engagement Manager Job Group Category: Exempt Type: Full-Time

Unit: Operations Schedule: Monday – Friday Hours: 40/week

Direct Reports: Yes Reports to: VP of Strategic Initiatives

Position Summary:

The Volunteer Engagement Manager plays a critical role in advancing Feeding Northeast Florida's mission to use food as a catalyst to strengthen lives and communities. This leadership position manages a team of volunteer coordinators while overseeing a comprehensive volunteer program that engages thousands of community members annually in the fight against food insecurity. The manager collaborates closely with warehouse and operations staff to ensure seamless daily operations while creating exceptional volunteer experiences that educate participants about food insecurity and inspire lasting community engagement.

Principal Duties and Responsibilities:

Operations Coordination & Compliance (40%)

  • Coordinate seamlessly with warehouse and operations teams to plan and execute daily food bank activities
  • Oversee departmental record keeping and ensure accurate, meticulous inventory counts for regulatory compliance
  • Maintain audit-ready standards for all volunteer spaces including volunteer break room, volunteer center, and welcome center
  • Manage volunteer-led mobile pantry distributions, ensuring families receive food assistance with dignity and respect
  • Monitor and communicate safety guidelines to both staff and volunteers, ensuring all safety standards are consistently followed
  • Oversee daily volunteer scheduling and maintain accurate documentation of volunteer rosters and monthly calendars

Team Leadership & Professional Development (30%)

  • Manage and supervise a team of volunteer coordinators, providing daily guidance, performance feedback, and professional development opportunities
  • Lead team meetings and establish departmental goals, ensuring alignment with organizational objectives
  • Teach and implement best practices in volunteer management to achieve gold standard operations
  • Foster professional development within the department through training programs, mentorship, and cross-functional collaboration
  • Enhance communication systems within the department and across the organization to improve operational efficiency
  • Launch and manage the Volunteer Captain program and Skilled Volunteer program, training existing volunteers to take on leadership roles within the organization

Volunteer Recruitment & Program Management (15%)

  • Develop and execute comprehensive volunteer recruitment strategies through multiple channels: website, community partnerships, social media, and public events
  • Design and deliver orientation programs that communicate volunteer opportunities, expectations, and organizational mission
  • Create exceptional volunteer experiences that inspire return engagement and deeper commitment to the cause
  • Establish diverse volunteer opportunities for families, corporate groups, schools, and community organizations
  • Actively recruit volunteers from businesses, colleges, churches, schools, and community groups
  • Ensure volunteers leave with deep understanding of food insecurity issues and tangible ways to make a difference

Data Management & Strategic Engagement (15%)

  • Manage volunteer database to ensure accurate data collection and documentation of volunteer service hours
  • Analyze volunteer program data to identify trends, assess needs, and communicate program status through reports and publications
  • Collaborate with Community Engagement Manager to engage corporate groups and strengthen the volunteer-to-donor pipeline
  • Develop and implement volunteer recognition programs through events, newsletters, and communications
  • Identify new opportunities for volunteer and community engagement in response to changing organizational and community needs
  • Stay current with best practices in volunteer management and implement innovative approaches to program improvement

Job Qualifications:

  • B.A./B.S. degree or equivalent experience preferred
  • Minimum 4 years of experience managing a volunteer program at a high-level nonprofit organization
  • Valid Driver’s License

Competencies:

  • Strong knowledge of volunteer management, recruitment, retention, and training
  • Outstanding interpersonal and customer service skills
  • Excellent written and verbal communications skills; comfort with public speaking
  • Previous management experience and demonstrated ability to lead staff in achieving goals
  • Interest in and commitment to the mission of the FNEFL
  • Strong computer skills including MS Office Suite, and database management (e.g. Volgistics)
  • Highly organized; able to prioritize assignments and manage multiple projects simultaneously
  • Ability to work independently and in a team setting with people of diverse backgrounds/circumstances

Work Environment:

This position is in a warehouse and outdoor environment and involves some need for a flexible schedule to accommodate FNEFL events. The following physical activities are necessary in the performance of this job: ability to stand and walk for several hours at a time, ability to lift up to fifty pounds, ability to be outdoors for several hours at time, ability to use a computer to accomplish the duties of the position, including writing and seeing. Ability to think strategically and analytically. Mobility to respond to volunteer and staff needs in various parts of a spacious facility. Ability to communicate expectations and establish priorities. Social skills to collaborate with colleagues and community members in a pro-active manner.
