GENERAL SUMMARY
This position is responsible for assisting claims representative or a branch office by performing analysis or activities related to customer satisfaction, loss, and expense management, or other claim activity. Assistance may include clerical data entry, processing claims, medical, and witness report requests, filing paper documents, scanning and indexing files into their appropriate location within the Gray Imaging System, processing timely claims payments, and performing word processing. Assistance may also include obtaining first notice of loss reports from the claimant, agent, or insured by telephone/fax/mail/internet.
DUTIES AND RESPONSIBILITIES
· Makes and maintains a connection with the customer by understanding and meeting their needs; serves with empathy; and follows up to ensure that the customer needs have been met.
· Ensures that all checks issued by statistical are correct and timely.
· Complete all draft requests for void and reissue of checks and insurer that the information is accurate.
· Opens claims when asked, sets reserve as directed, and ensure that all information on the claim is accurate and complete.
· Generate and confirm the required reports for management are accurate and timely.
· Complete timely filings of FROI/SROI, notice of payment and other applicable filings as requested by the company or corresponding jurisdiction.
· Perform clerical duties, including data entry, filing or scanning paper documents, responding to emails in a timely and professional manner.
· Proactively keep up with adjuster calendar of meetings and appointments where possible.
· Handles claim files (locates/requests files, files paperwork, reconstructs missing files, move misfiled documents and follows the current guidelines for the file tree and also ensures and educates the adjustor on those guidelines).
· Retrieves, prints, faxes or mails supporting documentation to vendors or others as directed.
· Confirms that prior to the end of the work day that all printers are properly filed with paper so that the required reports generated at night are completed and available for the following morning.
· As directed by the department some employees may be identified to assume the role of a transcriptionist which would include but is not limited to, typing letters and memos, typing statements, monthly file review letters, quarterly reports to reinsurers, and typing letters to new customers.
