Overview:

FWI is building a team to establish centralized workspaces within SharePoint for PSA offices and create Executive Leadership workspaces that will manage records and information through their requisite lifecycles. As a Records Management Specialist, you will analyze office business processes, inventory electronic records, and configure SharePoint workspaces to ensure proper lifecycle management while discontinuing the use of agency shared drives.

Work Schedule and Location:


Hybrid: This full-time hybrid position will work Monday through Friday, 8am to 4:30pm, with occasional onsite work at the Pretrial Services Agency office in Washington, DC.

Responsibilities:
  • Analyze PSA's Office of Human Capital Management (OHCM), Office of Information Technology (OIT), Office of Forensic Toxicology Services (OFTS) and Office of Communications and Community Outreach (OCCO) core office and business processes
  • Identify core functional tasks, business processes and documents created and maintained as a result of tasks for each office and their subcomponents
  • Meet with each PSA office to identify record types and appropriate General Records Schedule
  • Provide workspace configuration support and organize naming conventions consistent with pre-existing standards
  • Document each core functional task on the Stage II excel spreadsheet
  • Identify and notify the Records Officer of any potential conflicts in record types or records management requirements
  • Meet weekly with the Records Officer to identify tasks and provide status updates
  • Schedule meetings directly with office points of contact
  • Learn each office's business processes to ensure correct workspace configuration
  • Collaborate with SharePoint developer and Records Officer on workspace configuration and workflows
  • Create three Executive Leadership workspaces within SharePoint
  • Meet with PSA office personnel to assess and inventory records on shared drives
  • Identify appropriate General Records Schedule, Agency approved schedule or draft new retention schedule
  • Categorize records and identify associated metadata fields, record schedules, and authorized users/permissions
  • Conduct user testing upon site completion
  • Provide user training to staff on site functions

 

Qualifications:

Required: 

  • Minimum 4 years of project management experience, preferably involving official records
  • Experience organizing and categorizing electronic files
  • Familiarity with federal records management regulations, including 36 CFR, GRS, and NARA guidelines
  • Experience in defining metadata for electronic records
  • Experience in cloud-based records management systems
  • Strong communication skills to train staff and provide guidance on records management best practices
  • Ability to identify and resolve issues effectively
  • Public Trust security clearance is required

 

Desired: 

  • Certificate in Federal Records Management Training
