Major Duties:

  • Serves as the primary office assistant to the Director, Document Services OPS Branch, providing administrative, clerical, and other support.
  • Receives and directs calls and mail, greets visitors and directs to appropriate personnel
  • Provides administrative support services to a large production branch; Maintaining official record system(s), data entry, and processing customer inquiries
  • Prepares official departmental correspondence related to personnel security matters, reports, awards, and responses to incoming correspondence
  • Resolves routine administrative/operational matters or customer related questions/complaints, and transfers responsibility for corrective actions to the appropriate office.
  • Advises staff on administrative methods, regulations, protocols, clerical, and automated services to perform mission requirements.
  • Works with the financial systems of record, researches, updates entries, and receives/inputs interdepartmental purchase requests.
  • Reviews and validates Government Furnished Moves (GFM)/shipping using SYNCADA software and other account applications. Serves as Certifier on other SYNCADA accounts as designated.
  • Acts as the Training Program Coordinator; Trains new employees, prepares required documents and reports completed training
  • Manages the Production Equipment Inventory Program through the preparation of reporting documentation, coordination and collaboration with respective facility personnel, validation of items on hand/required, and government furnished movement.

Qualifications: A. Specialized Experience: One year of specialized experience that equipped you with the particular competencies to successfully perform the duties of the position and is directly in or related to this position. To qualify at the GS-08 level, applicants must possess one year of specialized experience equivalent to the GS-07 level or equivalent under other pay systems in the Federal service, military, or private sector. Applicants must meet eligibility requirements including time-in-grade (General Schedule (GS) positions only), time-after-competitive appointment, minimum qualifications, and any other regulatory requirements by the cut-off/closing date of the announcement. Creditable specialized experience includes: Receiving calls, mail, greeting visitors, and directing appropriate personnel. Resolving routine administrative matters and referring inquiries to appropriate personnel Scheduling meetings, conferences, and appointments and gathering information to prepare for meetings Preparing official correspondences related to personnel security matters, reports, awards, performance plans, letters of appreciation, and responses to incoming correspondence. B. Education Substitution: As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
