SALARY: The salary range for this position is $49,059.79 to $77,331.24 for Schedule A, and $49,059.79 to $73,464.67 for Schedule B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater. Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B.

The Mercer Vicinage - Finance Division - is seeking a customer service-oriented professional who is committed to providing total quality customer service. Under the general direction of the Court Executive 2b (Vicinage Finance Division Manager) and the Court Executive 1b (Vicinage Finance Assistant Manager), the individual will interact with internal and external customers of varying titles and positions and will coordinate administrative functions within the division and function as the records coordinator for the division. The individual will assist in ensuring that the Finance Division processes are efficient and contribute to our ability to meet program goals and achieve our mission of fiscal integrity while serving the public to the best of our ability.
REMOTE WORK: The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, in addition to installing a multifactor authentication app on your phone or tablet, you will be required to have high speed home internet access.
Position Duties
The ideal candidate will employ self-management, leadership, and administrative skills. Candidates must demonstrate excellent verbal and written communication skills, possess the ability to work independently, adhere to deadlines, show attention to detail and accuracy, and maintain confidentiality. The successful candidate must have the ability to work on multiple assignments, while ensuring effective time management and prioritization of the same, while also participating as a positive member of a professional team.

- Give advice or assist staff or team members with work in progress.
- Draft correspondences to respond to inquiries.
- Gather confidential information for management review.
- Schedule meetings, trainings, and appointments.
- Prepare agendas and meeting minutes: compiling/analyzing financial or technical data.
- Verify receipt of goods and services.
- Assist with resolving accounts payable discrepancies.
- Create and update spreadsheets, logs and charts.
- Establish and maintain filing systems.
- Review travel vouchers in accordance with Judiciary travel regulations.
- Process and prepare files for record retention, assisting with assets, inventory and disposal records.
- Assist with maintaining division office supplies.
- Screen confidential material for release to public or another authorized person/agency.
- Reach out to customers or other divisional staff for needed information and document acquired information.
- Assist in the development of orientation material, division phone lists, division handbook, Assist in the management of electronic file storage for division documents and files, including special procedures for confidential material.
- Assist with survey and staffing information related to annual inventory process.
- Perform other administrative support duties.
Minimum Qualifications
Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below.
The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
- All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
- Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
- Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.
Other Qualifications
Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations.
Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information.
Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
