JOB SUMMARY
The Associate Director of Patient Recruitment, Engagement and Outreach is responsible for the strategic leadership and execution of comprehensive, cross-functional patient recruitment strategies in support of Clinilabs’ clinical research units and multicenter studies managed by global clinical operations. This includes contributing to the review of feasibility assessments (as pertains to recruitment), study start-up, patient outreach, and the implementation of innovative products and vendors to aid in recruitment and retention. The Associate Director will ensure operational excellence, quality control, budget management and timely execution while meeting organizational goals.
RESPONSIBILITIES
- Leads the development and execution of patient recruitment strategies, working closely with senior leadership to ensure alignment with overall clinical research objectives and organizational goals.
- Directs strategic and operational activities of patient recruitment, ensuring target population enrollment is achieved on time, within budget, and with the highest quality standards.
- Manages and mentors the CRU recruitment manager, ensuring effective delegation, performance management, and professional development.
- Provides high-level oversight of the recruitment team, including setting goals, establishing performance metrics, and fostering a culture of continuous improvement.
- Develops and implements systems to measure and improve the effectiveness of recruitment strategies, continuously optimizing processes to achieve better outcomes.
- Serves as the primary point of contact for stakeholders on recruitment-related matters, ensuring transparent and timely communication of strategies, progress, and results.
- Manage vendors that serve the department, including but not limited to Smart Choice (phone system), patient recruitment vendors, transportation services, etc.
- Builds relationships with professional contacts (physicians, patient support groups, etc.) in Clinilabs’ target indication areas that can help to build Clinilabs subject database and improve study enrollment.
- Oversees the patient management system (CTMS) including study build, data collection, and financial reporting process.
- Drive strategic engagement with physicians, clinicians, and external partners to identify unmet needs and barriers to subject enrollment. Lead efforts to develop solutions that improve recruitment efficiency and streamline the entry process for prospective participants.
- Works closely with the marketing department to design and implement strategic campaigns, including advertising materials, community outreach programs, and impactful presentations for both internal and external audiences.
- Lead the development of patient-facing materials and tools (e.g., phone scripts, website content) in collaboration with the recruitment manager. Ensure that materials are aligned with Clinilabs' regulatory requirements.
- Stay at the forefront of trends in patient recruitment, retention, and clinical site training by actively reading industry publications, attending high-level conferences, and integrating best practices into organizational processes.
- Ensure that patient recruitment strategies and site management are fully aligned with Clinilabs' policies, priorities, and Standard Operating Procedures (SOPs). Oversee the consistent and effective application of operational processes across the recruitment and site training functions.
- Take a leadership role in client interactions, including strategic calls, site qualification visits, bid defenses, and relationship-building with key external partners. Serve as a point of contact for high-stakes communications regarding patient recruitment strategies.
- Ensure consistency and compatibility of processes, SOPs, work instructions, and systems across all recruitment services, with focus on improving operational efficiency.
- Lead the development of recruitment-related budgets, balancing cost-effectiveness with strategic impact. Make high-level financial recommendations, ensuring optimal allocation of resources while meeting project milestones and timelines.

The salary for this position ranges from $95K to $110K, depending on the candidate's experience and location.
- The position requires at least a bachelor’s degree in a related field or relatable experience.
- Minimum of 8 years of experience working in the clinical research industry, with a proven track record of leadership.
- Extensive experience in managing cross-functional teams and overseeing complex projects from inception to completion.
- Exceptional organizational, communication, facilitation, and interpersonal skills to lead diverse teams and ensure alignment across departments.
- Proven ability to develop and execute patient recruitment strategies, ensuring alignment with broader business objectives.
