Position Summary:

The AP Lead is responsible for all accounts payable functions for the company, including but not limited to processing invoices, issuing checks, reconciling vendor statements, and monthly AP accrual. Generally, support the Accounting department and assist in accurate and timely financial statements.

Essential Functions:

Accounts Payable

Maintains Accounts Payable Vendor file and assures names, addresses, and proper tax information is complete and accurate.

Enters invoices into Accounts Payable system (Workday), ensures correct routing for approval, and assigns appropriate general ledger code; follows-up on in progress invoices not approved timely.

Performs day to day full cycle accounts payable oversight to ensure accurate and timely payment processing

Verifies that all invoices are paid according to the set terms.

Prepares weekly and as needed AP and patient refund settlements.

Mails checks and files all pertinent documentation / support.

Confers with vendors on issues regarding their accounts.

Tracks sales tax and maintains necessary documentation to support S&U tax filing.

Responsible for annual 1099 reporting and filing.

Performs all other duties as assigned.

Education / Licensure / Experience:

High School diploma

Associate degree in accounting or related field

Two years experience in accounting or accounts payable environment  

Knowledge, Skills and Abilities Required:

Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community; Ability to organize and prioritize work assignments with attention to detail; Knowledge of accounting principles, practices and methods; Knowledge of financial record keeping practices; PC skills including working knowledge of AP systems, preferably Workday, and Excel.

Work Hours:

Typical work hours for the Accounts Payable Associate will be Monday through Friday 8:30 A.M. until 5:00 P.M. with a half hour meal break. If business hours are extended due to practice needs the Accounts Payable Associate may be requested to provide coverage.

Working Conditions:

Work is normally performed in an office setting and requires prolonged sitting.

Physical Demands:

Physical requirements needed to perform the job are eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate documents.
