Description
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Maintain organizational filing systems, inventory of office supplies, support hiring managers with onboarding, process program registrations, and maintain participant records.
- Oversee State Food Service Program to ensure quality meals and compliance with program requirements
- Create and maintain databases supporting staff, programs, and external partners
- Serve as primary phone and email contact, responding to inquiries professionally
- Draft correspondence, reports, and other communications as needed
- Maintain and update contact databases for donors, partners, and program participants
- Coordinate information flow between programs, families, and partner organizations
- Schedule meetings, interviews, and coordinate hiring logistics
- Prepare meeting materials, take meeting minutes, and document & distribute meeting outcomes and action items.
- Partner with Program Managers to secure supplies aligned with program and funder requirements
- Coordinate facility maintenance requests and liaise with building management
- Manage vendor relationships and coordinate service agreements
- Process donations and maintain donor acknowledgment records
- Process invoices and expense reports according to organizational procedures
- Perform other duties as assigned to support organizational operations
- participate in staff meetings and professional development activities.
QUALIFICATIONS:
- High school diploma or equivalent required; Associate degree preferred
- Minimum 2 years administrative support experience required
- Experience in nonprofit or youth-serving organizations preferred
- Experience with database management and CRM systems preferred
- Must be able to lift up to 25 pounds at times.
- Valid Driver License and reliable transportation
KNOWLEDGE, SKILLS AND ABILITIES:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with database management systems (Salesforce or similar CRM preferred)
- Proficiency with written, verbal, and digital communication platforms
- Ability to handle multiple priorities and meet deadlines
- Professional demeanor and customer service orientation
- Ability to maintain confidentiality and exercise discretion
- Detail-oriented with strong accuracy in data entry and record keeping
- Basic bookkeeping and financial record-keeping skills
PREFERRED QUALIFICATIONS:
- Bilingual capabilities (Spanish, Arabic, or Bengali preferred)
- Knowledge of Detroit community resources and nonprofit landscape
- Experience with grant management, food service program administration
Salary: $15 - $25 (based on experience and qualifications)
