The core mission of the Print Order Assistant (Part-Time) is to provide administrative and project management support to Outreach Publishing, ensuring smooth workflow between publishers and internal teams. This role emphasizes communication, accuracy, flexibility, and significant attention to detail, while maintaining quality and timeliness across print projects. The part-time Assistant collaborates with the Print Production Coordinator to manage day-to-day details that keep the publishing services process on track, including creating quotes, processing POs, collecting print files, and conducting daily reviews of order flow.
ESSENTIAL DUTIES:
- Coordinate print production schedules and keep books and manuscripts moving toward completion within defined timelines.
- Serve as a communication liaison between publishers and internal departments.
- Create a variety of book printing quotes, place print orders, and coordinate receipt of acceptable print files.
- Maintain organized digital files related to projects, publisher quotes, and correspondence.
- Track project progress using internal systems, proactively identifying and communicating potential delays.
- Support Outreach operations through administrative assistance, meeting coordination, and follow-up tasks.
- Uphold professional communication—written and verbal—with clarity, accuracy, and attention to detail.
- Assist with research or outreach related to new vendors or production resources.
- Contribute ideas for process improvements that enhance efficiency or communication flow.
- Perform other duties as assigned to support Outreach Publishing and Outreach’s overall mission.
Requirements

- Demonstrated knowledge of print production, publishing, or media project workflows.
- Strong administrative, organizational, and project management skills.
- Exceptional written and verbal communication; able to interact with a variety of stakeholders.
- Strong attention to detail (while open to outside-the-box creativity), accuracy, and follow-through.
- Proficiency with Google Suite (Docs, Sheets, Gmail), Microsoft Office, and familiarity with instant message tools such as Slack.
- Ability to handle multiple priorities and adapt to shifting project needs in a flexible, part-time environment.
- Works independently while maintaining accountability to project deadlines and team communication.
EDUCATION & EXPERIENCE:
- Bachelor’s degree preferred or commensurate life experience
PHYSICAL REQUIREMENTS:
- Sitting, standing, kneeling, filing, and computer work
WORKING ENVIRONMENT:
- This position operates in a hybrid work model, with both remote and on-site collaboration at Outreach’s Colorado Springs headquarters. Flexibility to work hours most convenient.
- 10-15 hours per week, can be a flexible work schedule
- Typical office environment; must be able to remain seated and use computer equipment for extended periods.
